Your visual aids are out of sync with your speech. How can you ensure they enhance your message effectively?

Some key rules for every single slide: 1. Keep the text to an absolute minimum while retaining comprehensibility. Full sentences are almost invariably too wordy. 2. If text is unavoidable, animate each point so that you are not lagging behind the viewer who can read the slide much faster than you can speak. Never use the slide as your script. 3. Use a large-sized sans serif font for legibility. 4. Correct all typos, and use consistent fonts throughout to avoid looking sloppy. 5. Eliminate anything on a graphic that is not essential - the message in an image must be almost immediately self-evident. If necessary, build up complexity by animation. If "a picture speaks a thousand words" ask yourself how many of those words are comprehensible.

When I give a presentation with visual aids, I create a roadmap for the flow of the presentation and ensure that the slides align with what I am discussing at the right time. Syncing your words with the slides requires practice. The timing of the slides is crucial for enhancing your points. Pauses are also effective when transitioning between topics. If I have a story to tell during the presentation, I ensure the slide isn't stuck on the previous idea; sometimes, I'll use a blackout slide for this purpose.

Then we can move on to the big screen, posters, slides, etc. Tech check beforehand always! Slow down, connect with audiences....that is the way to share the message. Ask for clarifying questions, engage, and ask for active participation.

Before you finish drafting your slide deck, give it the “last chair” review: can they be read clearly from the furthest chair in the room you will be presenting in? If not, then increase the font size, remove extraneous data, and divide the information between two or three slides if necessary. Less truly is more. Think of three things you want your audience to remember and focus on that per slide, rather than bombarding them with more information than they can handle.

Again with the slides..! When you have your speech down, incorporated stories and have moved to storyboard, you can then look to see where assets will help add texture and emphasis. Think beyond slides. You want to add assets at certain points to add depth to your talk - a prop, an audio clip, a short video, a 1 image slide. Think of slides as a last resort not the beginning, your speech is about engaging with your audience and the audience engaging with you - every asset should work to increase that. Use the asset / prop / slide and then put it away - bring the focus back to your relationship with your audience. One of the most successful talks I deliver lasts an hour and has 4 assets. A prop, 2 slides and short video with no audio.

Accessibility is an often overlooked and omitted aspect in many presentations. When preparing your slides, be mindful that there will likely be people with disabilities present in the audience. Slides should always use simple, easy to read text styles and font sizes. Use a high contrast color scheme and test your slides for accessibility. Use alt text for pictures and add captioning for people who are hard of hearing. Accessibility should be a feature of your presentation, not an afterthought.

Record your presentation and watch it for a duration equivalent to ten times its length. This extensive review process enables you to thoroughly analyze your performance, pinpoint areas for improvement, and refine your delivery. Watching yourself multiple times helps enhance your presence, gestures, and overall presentation skills, leading to a more polished and impactful delivery.

Preparation and practice are the most effective way to make sure you deliver the intended message. First and foremost, do your homework and know your subject - never “wing it.” Learn what you can about your audience and find ways to engage their curiosity. Practice your presentation or speech, record it, watch it and listen to it, repeat this process until you feel confident and ready.

Sometimes, we rely too heavily on visual aids, feeling as if they control us rather than support our message. In speaking, audience engagement is paramount. If you concentrate too much on the slides, you risk losing the audience's attention and failing to connect with them. Remember, your primary goal is to engage with the audience, not the slides.

When using visual aids in your presentations, focus on the audience, not the aids. They should highlight key points and add interest, but you shouldn't read from them, if you do, you might as well not need to be in the room. Keep them simple and practice using them smoothly so they enhance your message without distracting from it. This way, you can stay connected with your audience and keep their attention.
