Your team is spread across different time zones. How can you ensure they don't burn out?
Preventing burnout in teams across time zones requires careful planning and empathy. To ensure your team's well-being, consider these strategies:
- Schedule overlapping work hours for real-time collaboration and ensure rest periods are respected.
- Use asynchronous communication tools, so team members can contribute when it's convenient for them.
- Regularly check in on each team member's workload and stress levels, adjusting expectations as necessary.

With 22 years of global experience in the hospitality industry, I've seen how working across different time zones can be tough on teams, especially when it comes to avoiding burnout. At Hilton, I've learned that flexibility and respect go a long way. Allowing team members to set work hours that fit their time zone, communicating in ways that don’t require everyone to be online at odd times, and using tools that support seamless collaboration help keep things balanced. Regular check-ins, encouraging breaks, and setting clear boundaries about after-hours work make a big difference. Leading by example and showing that it’s okay to disconnect after work helps build a culture where the team feels trusted, valued, and refreshed.

To prevent burnout in a multi-time-zone team, set clear working hours and encourage async work. Promote boundaries, such as no-meeting days and regular breaks, while modeling healthy behaviors yourself. Use project management and communication tools to streamline async collaboration and ensure seamless hand-offs. Foster a supportive culture with optional social events, regular recognition, and access to mental health resources. Regularly check in with team members, gather feedback, and adapt policies to meet their needs. Empower the team to control their schedules for better work-life balance.

As a leader with a global and remote workforce, it's important to not only schedule appropriately across timezones, but also ask and consider preferred lunch and working hours that can vary across cultures alongside differing holidays and how we celebrate. We encourage flexible working schedules with regular sync-ups that allow team members to work in a transparent and trusting environment that still ensures business and customer objectives are met.

As a leader of a decentralized, global team it's important to model that working hard doesn't mean working all time zones. A simple action that I've taken is to add a note to the signature block of my emails that says: ““My work hours may differ from yours. Please don’t feel obligated to respond outside your normal working hours.”

Having managed a globally distributed team, I've learned that preventing burnout requires strategic flexibility. I focus on setting clear boundaries around work hours and encourage asynchronous communication to accommodate different time zones. Regular check-ins help me stay attuned to my team's workload and well-being, allowing me to make necessary adjustments. Prioritizing flexibility and understanding cultural differences has been key to maintaining a healthy, productive team.
