Have used this method a few times, flip the need for them to open the meeting up for you, it helps them in a number of ways. 1. They realise the whole team will now be looking for them at the start of the session. (Teammates are the best at wind-ups for being late etc) 2. The virtual office is as important as the physical office, with vendors etc connecting remotely. 3. Highlight in front of all the team the courtesy around being in the ‘To’ box of a meeting or ‘Required’ compared with the ‘CC’ or optional, and how to use both correctly. 4. The use of taking 5 minutes off a meeting invite to allow for time to attend the next (if you are back to back) - Microsoft has even built this as a standard option now.

Set clear expectations for attendance and communicate the importance of their involvement. Send reminders in advance and offer flexibility if scheduling conflicts arise. Additionally, check in privately to understand if there are any challenges preventing their attendance and work together to find solutions, such as adjusting meeting times or providing support for better time management.

A conversation needs to be had with the team member to ensure they understand that their attendance and participation is required. If they do understand the need to be at the meetings, then the manager should inquire about why they person is missing the meeting, trying to understand if there are conflicts or impacts that are preventing the individual from being able to attend and respond accordingly to support their team member.

If a team members keeps missing virtual meeting , i will prefer to have a one on one meeting to understand the challange or obstacle in attending the meeting. If its a time conflict, I will explore a pssobility to reschedule meeting time so that the team member can attend. Alternatively, I will ensure that meeting recordings are available so that he/she can replay to understand content and context of the meeting and actions to be taken. I will also look into the possibility of improving the reminder system, booking meeting time based on calenders and availability. Will also communicate that in event some body is not able to attend the meeting on the scheduled time, he /she may send her points in advance based on agenda of the meeting.

I’d emphasize the importance of their input in these meetings and work with them to find a solution, whether it’s adjusting the meeting time, setting reminders, or clarifying roles. To encourage participation, I’d assign specific topics for them to lead or prepare for, which can create a sense of accountability and make their presence more integral to the team’s success.
