I am always very strategic with the pre information I give people. If I want to gain an in depth perspective then fine, but other times I may want to guage a reaction or want a topic to be a discussion piece rather than a prepared response. Have a clear desired outcome for each agenda point Be aware of who in the room may have something important to add but is being rail roaded by the more extraverted meeting participants. Consider the location, environment and seating arrangement for the meeting relative ot the outsomes you are after, simply moving the chair of a meeting to a less dominant position can improve inclusiveness and team input.

Engagement is a 2 way process and one must have presence of mind and ability to stitch a program, design and activity based on audiences. One of the strategies is to understand their Generation, what works for Gen X does not work for Gen Ys. Hope this helps

Ask a question and stay silent. Someone will answer. Remain silent. There will be awkwardness. Someone else will answer. If the silence goes on for more than about 3 minutes (no shorter!), look around the room and say "Let's adjourn until everyone is prepared." Then get up and walk out.

Few practices that help to pep up engagement: 1. Hits, misses, support, updates: Let each member share their perspective on each agenda point to get a conclusion or action point for each agenda about what was achieved, what was missed, what needs to be done, by when and who will report. 2. Play the devil's advocate - sometimes raising thought provoking questions or suggestions irks up attention & engagement.

So everyone's aware of the importance of communication, clear agendas, avtive listening etc. But here are few Common Mistakes that must be avoided to improve communications: 1. Do not assume: When people assume & react they often spread the confusion among others. So ask questions to get clarity, have a clear perspective & then respond accordingly. 2. In the virtual world, especially on Zoom & Team's meetings, make sure your connection is working fine & cameras are on. When cameras are off & connectivity is unstable the conversation is often interrupted and missed. 3. Engage members that tend to be quiet. Members who hold back thoughts & stay quiet often have very relevant questions but shy to ask. Not engaging them could be a mistake.

Working with the coach to identify the participants in the meeting, what motivates them, what they care about and their communication style is very helpful. It increases understanding about the level of information needed by the audience, what arguments and narratives they will engage with, what objections they might have that need to be addressed and what questions might arise. Thinking about who can be an ally in making the meeting a success and what work might be done with them in advance is part of this exercise of knowing your audience.

Not everybody favours the same communication style, so in order to maximise engagement we must consider VAK - Visual, Auditory and Kineasthetic 2. Our body language is as important as what we say or show 3. Just becasue we have putn our idea across, it doesnt mean that it has been received or understood, The lens through which an audience process the incoming information nor message will determine their takeaway, so always take the time to ensure that everyone is on the same page with the same understandings. This process also enables us to engage with the greater group fostering interaction which will also help embed messaegs concepts etc.

Giving people the clear understanding that feedback is vital for performance to the motive both internally and externally- investing time with the team to understand and feel that feedback both positive and negative as long as constructive is important.
