Use the pareto principle to identify the 20% of things that are causing the 80% of problems (or use a pareto diagram to look at the several most important causes). Once this analysis carried out address the major problem areas as absolute priorities. Also ensure that for each of the problem areas identified specific people are assigned to the resolution in funtion of both their unique competence, expertise as well as their level of motivation.

Two things to add, in general, on this topic from experience - if the Team feels it is their project and feel the ownership, everything else can be resolved - as a leader, don’t jump in to give solutions, let the team come up with the challenges and encourage that they come up with at least two solutions to overcome the challenge. Then discuss, which could lead to the best solution and again the Team will be happy to take ownership to execute.

"Team falling behind on project deadlines".... In my personal experience, this situation is arguably present in most companies and ours is no exception. If each team member takes "task ownership" seriously and adapts a process of detailing, tracking, collaborating, communicating and celebrating small milestones along the way with fellow team members the deadlines can nearly be achieved each time. Its hard though because: a) Absence of competent project leader b) Lack of effective communications within team c) Poor attention to details and monitoring e) Last but not least legitimizing Assumption. Assumptions can affect outcomes. They can be extremely dangerous & generally turn out to be "false" when confronted, communicated & clarified.

In my experience what works best is to have your team or team member work on a single most important task at a time. People and managers specifically love having top priorities! Sometimes they loge it so much they have many of them :-( Multitasking is a myth and the cost of task switching is real. It happens to all sometimes. For whatever valid reason or not, we miss a deadline or 2 in our career. Beating up the team will never do any good. Instead, always ask: What do you need from me to get us back on track? It shows them you care, and that you, too, are responsible and involved in the entire process.

Communication is the most and the first part of the project and in project management you need to communicate with your team from the first day to the last. In my perspective if you as a project manager not communicate with your team or not enhance the communication how you can find and assess the problems and how you can manage the risk. So you need to enhance your communication.

Break the rules! Create a "parallel" path of communication. Some issues need to be addressed faster than others. Let the team members superior echelons of organisation hierarchy, for specific issues, in order to speed up the process!

Enhanced communication comes in many forms: 1) the morning huddle; usually best around the coffee pot or break room; if remote, improvise a morning huddle. 2) the weekly status meeting - a 30 minute meeting where each team member gives updates on where they stand and any hang-ups are brought to the table. 3) the monthly progress presentation - a 1 hour presentation of the progress of the program to leadership. This allows key team members to give progress presentation to leadership (could be rotated amongst the project team), but allows management to see the team collaboration. 4) And most important: Management by walking around - be available for them. Communication boosts morale and team camaraderie. It’s a must-have.

Few things you need to do is - Understand the task by yourself. - Make proper roadmap of the way you would have completed it. - In a simplified approach make them understand acctully what the task is. - Than you'll know that there's a problem in team or they were not able to understand what acctully the task was. - And you'll get either of options that Replacement of employees looking for better or else you'll get the work done .

During weekly meetings or huddles or hallway discussions, ask them if there are any streamlining opportunities or bottlenecks that are holding them up. They may have suggestions. Help them develop, try, test, and refine their improvements. Let them take on the challenge of making the system work for their needs.

Relook at the processes and resources and eliminate existing workflows and cumbersome methods to stop delays. Streamlining the processes and incorporating new methods and tools will help in quicker completion and turn around time. This will also help to focus more on the actual work at hand and less on the administrative works.

Fire them and get new team. It is apparent this team cannot handle the work load. More than likely dragging their feet, wasting half of Monday talking about their weekend and wasting all of Friday anticipating their weekend
