Your keynote speaker cancels last minute. How do you uphold professionalism and captivate the audience?

Hold the keynote speech yourself and embody the speaker while doing it ;). This can be practically achieved by doing method acting which provides a range of limitless possibilities. But of course this needs training and obviously includes a creative element that should be taken less literally and depends on the context. Still it might lead to new insights while positively surprising the audience. Alternatively share valuable content yourself that might be useful beyond the realms of anticipation. Have an openness for unexpected circumstances and trust the process. Even erroneous choices in that regard can ultimately lead to beneficial outcomes for everyone involved.

Be like a duck on water. Calm and composed on top, but paddling hard to keep moving under water. Patience is they key to solve such incidents which happen. Being in thus industry for more than 2 decades have given me that experience to know what works.

Calm and composed, informing for a good reason why and having prepared in advance a portfolio of presetntation of interesting matter related just in case. You never know if that already has happened to you once.

It works everytime I promise you, close your eyes and take deep breaths, this allows your brain a bust of what next to do unveiling new creative ways of how to bring about stored information and / or a calculated decision to be made right at that very moment. Always be informed on different topics and have confidence in sharing your experience.

Perfect time to show your leadership skills through communication and decisive leading. People naturally will follow good and sensible instructions. Isure that your instructions are clear, simple and understandable to avoid chaos.

Your audience, delegates and colleagues will appreciate the honesty and give you the space and grace to find an alternative. Who knows, by being honest you might be opening up the opportunity for someone ready and capable in audience to step up. Also, an unexpected and (hopefully) interesting talk/session could be a conference highlight.

Always keep the audience in the loop. Even if there is a mistake acknowledge and rectify. Keeping the delegates informed makes them feel valued and they will remember that. Never lie. Keep it crisp and move on. Organising a conference needs you to be focused on positive outcomes. Do not delve on negative ones more than required.

Dealing with change can be difficult for anyone, but not knowing what's going on can be even more frustrating for your audience, so communicating with changes to plans should be a priority in this situation.

I've seen this situation first hand in early '08. ThoughtWorks had just opened their Chennai office and we invited Martin Fowler for a talk in Chennai. However, he fell ill on the day of the talk and was unable to speak. The organising team, which was made up of ThoughtWorkers from Chennai, took the stage and explained the situation to an understanding audience. Then, instead of canceling the event, they took the topic (on which Fowler was about to speak) and converted it into a group discussion involving the audience. They drove the discussion, engaged the audience, encouraged them to participate and at the end, the event was a success. Maintaining calm, communicating clearly and some smart thinking on your feet is key in such situations.

Set the agenda in a way that can manage this. Create panel discussions between keynotes. That way if there is a drop out one of the panelist can continue with the next slot or extend the panel to more interactive discussions with the audience. This has worked for us.

When faced with a last-minute speaker cancellation, we have found that maintaining a positive attitude can be transformative. In my experience, there is always someone from the partners or notable attendees who would be only happy to act as a speaker. So having a great network in the field can be very useful and will allow you to find a backup speaker among the audience or online.

I’ve been there! Engagement truly is key in keeping an audience interested. Incorporating Q&A sessions and live polls not only fills time but also energizes the atmosphere, turning passive listeners into active participants. Have you noticed how a dynamic discussion or a timely poll can invigorate an audience? By encouraging speakers and panelists to interact directly with attendees, every session becomes a collaborative and enriching experience. This approach not only keeps the energy high but also transforms potential challenges into opportunities for deeper connection. Engaging our audience directly makes each session vibrant and inclusive. I also prepare to engage with attendees by having activities ready just in case!

Reassure the audience that the event's core value proposition remains intact. Focus on the overall experience and networking opportunities. Empower your team to step up and fill the void. Perhaps a knowledgeable panel discussion with internal experts or industry leaders can be assembled. Encourage audience participation through Q&A sessions, interactive workshops, or open discussions. This can foster a sense of community and involvement. Shift the emphasis from a one-way lecture to a collaborative experience. Encourage networking and relationship-building among attendees.

Turn the keynote session into a design thinking session. You can engage the audience with roundtable discussion questions. Gather ideas and share thoughts. The structured activity is an opportunity to: 1.) Reinforce the themes of the conference/event, 2.) Share your knowledge on the topic, 3.) Assess how much you know about the topic, 4.) Network & make connections with other participants who have knowledge or creative ideas.

In this age technology plays a key part in our affairs. Live streaming a speaker or playing pre-recorded sessions can be a few quick fixes. What is important is that you learn from this and always have a contingency plan ready for next time.

It’s important to acknowledge the situation openly with the audience. If the speaker is still available, consider arranging a video conference, or, if a pre-recorded version of their talk is accessible, play that instead. Thank the audience for their understanding and flexibility, and offer the speaker’s contact information for any follow-up.

Firstly, we shouldn’t have in mind that this will never happen. If you proactively have a risk matrix in your planning, you should have an idea of this worst case scenario. Secondly, in the proactive list, you can keep 2-3 alternative speakers. And sometimes you will also find help from keynote speaker who will send someone on his/her behalf. Lastly, always have a communication content ready for the future.

Learn and Adapt. Document the situation and identify areas for improvement in future event planning. This includes having a robust backup plan and contingency strategies.

After each event, it is very important to collect feedback and draw conclusions, and even more so - after an event with such complexities. And although we certainly do not want such a thing to happen to us, sometimes experiencing it in reality is the only chance to gain experience of real solutions and how to deal with real problems. Being able to learn from mistakes and difficulties is the most important skill for anyone.
