Making the right choice begins with defining your business state and plans, such as current portfolio size and growth plans, portfolio management team, regions, stages, etc. During the demo, fill the app with fake data that mirrors your actual volume and diversity. Next, outline all business processes to be automated and attempt to execute them during the demo. Note any limitation down and consider how you will handle them, such as continuing manually, using an API with 3rd-party software, or changing your business processes.

Special fund modeling SaaS tools like Tactyc are helpful for modeling the portfolio. I've started modeling in Excel and it is good enough to get your rough strategy set up and to convince LPs. However, the deeper you go down the rabbit hole, the more you want to model stochastic outcome, the self-built model starts reaching its limits. You then lose the flexibility to make changes due to the complexity of the model. Also, Excel is not the silver bullet for tracking of your ongoing investments against the plan, forecasting reserves, cash drawdowns from LPs and model exit waterfalls. Even if you are good at Excel, it gets complex and prone to errors. Therefore the special SaaS tools have their merits.

Besides Excel, I have found Fundrbird invaluable for quarterly reporting and capital calls. The reporting has great style, security, and ease of use if you collaborate in a team. Also their banking integration stands out when you're managing a large number of LPs, allowing you to easily track who submitted the capital call already, sending automated reminders, etc. Our finance team enjoys their responsiveness and customer centricity.

DealCloud Primarily a CRM platform with powerful relationship and deal management tools. Strong for portfolio companies with dynamic networks and complex investments. Fundrise Caters to angel investors and smaller funds with intuitive tools for deal tracking, communication, and reporting.

Software will never replace an effective back office. While it may be prohibitively expensive to hire full time fund administration professionals, there are many fractional CFO/back office firms that can be especially helpful to smaller, emerging VC fund managers.

Note that CRMs are not mutually exclusive. Obviously, the fewer CRMs you use the lower the complexity and bill. However, at our firm we have been forced to use three different ones for three different purposes. We wish one of them had all features but so far none have completely nailed it.
