An organization needs a comprehensive inventory and data catalog. If you don't know what you have how can you protect it ? Once everything is cataloged then the appropriate controls can be put in place in a functional manner. The catalog allows for tracking of business use case(s) for data.

Understanding your company's application ecosystem, where you store your sensitive data, is one of the key elements of the assessment phase. In addition, you must have the tools, people, and processes to identify threats and vulnerabilities in your organization on an ongoing basis. Training and awareness of your employees are also very crucial to secure your data. Many of the breaches happen as a result of humans clicking on phishing emails or not handling sensitive data with proper controls. Also, standardization and data governance go hand in hand with ensuring the safety and security of your data.

A successful data governance project should always be driven by the business working hand in hand with IT. The business teams are the owners of the data and should be involved from day one to make sure that the implemented solutions are user friendly for them and answer their data governance problems in order to facilitate their onboarding.

To enhance a company's data security, collaboration is key. Start by forming a cross-functional team from IT, legal, and business units to assess vulnerabilities and prioritize risks. Prevention is always better than cure, make sure to add validation controls in your first point of entry systems in order to ensure that the data entered by the users is complete and in the expected format, this will save you a lot of time and money trying to fix it up once it's consumed by other systems.

The importance of each control increases with the sensitivity of the data being protected. that will put encryption, authentication, authorization, backup, and recovery at top priority.

With your data policies defined, it is necessary to implement robust data controls that enforce these policies. Year after year studies of breaches have proven that the biggest vulnerabilities in a company's data system are human induced. Be it intentional or unintentional, human factors if not curbed can lead to catastrophic liabilities. Hence the importance and best practices in data security need to be communicated effectively to all those who use data. This education can be more effective if the top C-suite executives sponsor as well as get involved in the delivery of this message to all employees. Some effective techniques that I have deployed on my projects : Simulated case studies of data breaches followed by deep discussions facilitated by a competent data governance trainer and periodic evaluation to ensure proper understanding.

Make it real. I have seen countless training that were so dry that users would just zone out within the first 5 minutes. The users need to understand why it matters and they remember it best with concrete examples or a live experience. For example, simulate a cyber attack in the office, unannounced of course. We do fire drill every year. Why don't we also conduct data breach drill ? Micro learning which I advocate is also a great way to educate on this topic as well. This is not something that a user will understand and remember with just an annual mandatory training.

It is highly essential to enlighten the business stakeholders with the changes made in the organisation under Data Governance policies. This helps uniform collaboration, and ease of implementation. I have had the experience of implementing the Data Governance process for a client, and making data stakeholders understand the purpose of Data Governance is one of the crucial steps.

To mitigate the security risks, first and foremost is identifying them proactively. That said analyzing the data on potential risk should be an important part of governance framework. Data policy should define clear roles and responsibilities of who/ how data is handled. Gap analysis on what is missing should be part of data control. Educating anyone who uses the data around the polices and best practices to handle data should be in regular cadence. Priority should be given on regular communication to the stakeholders on where we stand, what measures are we taking to ensure the data security and any proactive monitoring that is done becomes important tool to get stakeholders on board.

If you already know the data security is at risk - it is important to implement interim, short term controls and have a plan for proper corrective actions in the long term. Consider a quality improvement plan regarding data governance and engage internal stakeholders to assist in the risk reduction. Set up a data governance committee that meets regularly to report on progress and address resource issues / bottlenecks.

Business teams must collaborate to make sure that the data governance rules are applied, but this can become a headache when it’s done using emails and spreadsheets, that’s why a user-friendly workflow tools is a big plus to make their lives easier.
