You need to select a vendor for a long-term contract. How do you ensure you’re making the right choice?

Typically, tendering/ identifying the right vendor starts from Purchase Requisition (PR) stage. PR identifies company needs, requirements, specifications, value, duration, risk & challenges etc. Need for a new contract arises either due to a new requirement or renewal of existing contract. It is a best practice to define needs & expectations in a Procurement Strategy Document (PSD) & obtain alignment from all stakeholders. PSD is prepared by the buyer & should contain following details: ? Details of Goods/Services including specifications, drawing, quality details ? Estimated value/duration ? Type of tendering (Single, Selective or Open) ? Risk Assessment & mitigation strategies ? Technical & Price evaluation criteria ? Award Strategy

Assess how well each vendor aligns with these criteria you can make a more informed decision and select the vendor that best meets your needs for the long term.

That doesn't mean you're best friends, or that there will never be points of tension. Things like variations, price adjustments and disputes are inevitable over the course of a long-term relationship, and you need to be able to resolve them for the relationship to last. The place I've seen this get most messy is where one side of the relationship defaults to the contract and relies on what was written down in the past, and the other wants to talk things through, shake hands and break bread. Both are totally reasonable, and when the two (or more!) parties have different expectations of how to move forward, things can get messy

In any long term contracts, the most important aspects would be to have utmost clarity on expectations (both sides). Deliverables, KPIs/metrics to be clearly defined and measurable without ambiguity (smart goals). There should be fair price adjustment clauses / change order provisions to take care of economic / scope changes in a fair and transparent manner. Besides, both parties should do due diligence for each to ensure the organisational values are aligned. There should be fair provisions for remedies on unknowns which may spring during the course of the contract.
