Event planning is a unique aspect of event delivery. Many of us enjoy handling event operations, but planning can sometimes be less enjoyable, particularly when it involves thorough project management rather than last-minute firefighting. To truly demonstrate a passion for event planning, it's essential to address the following questions: The objectives of the event and timeframes. The list of stakeholders, internal or external. The current understanding of roles and responsibilities, particularly the roles of the Operator and Budget Owner. It will help establish a strategic framework for the event planning. Based on this info an event planning enthusiast can draft a preliminary roadmap for the event planning, highlighting key milestones.

The events we plan are a little different, but they are events. So, I say be willing to think outside the box. Express your desire to not only contribute, but to learn from everyone on the team. Show your commitment to being a team player, inclusive to all thoughts and ideas, and by remembering that everyone has something to contribute. There is no bad ideas, just some ideas work better than others.

Every company and what they're willing to do is different. Look for what they've done in the past on the company website, or outright ask in your interviews what kind of events they like to put on. Some are so small that they need to rent outside space; know your area and the types of spaces available and a rough estimate of per-hour cost. Know the rough cost of catering for the number of people on your team or in your company. Know if they are a client-facing team, and if they are look into what kind of events their clients might expect. Be prepared for as many possibilities as you're able!

The goal isn't to explain your experience in event planning - that should be covered in your resume/CV. Your resume won't show your feelings about the events you plan. You should ask: who/what do you love organizing for? This can be goals, causes, people, etc. For example, organizing events where kids can have fun (and parents can breathe) always makes me happy. Fundraising events for a good cause are also very fulfilling, and have the bonus of giving you a number (of dollars raised, people served, etc) that quantifies your impact! Through these examples, you can explain how competent event planning helped it happen!

Having a portfolio of your proven success is valuable. But what else do you do? Do you simply do the events that are put in front of you or do you solicit clients through networking? If you are part of associations that lend to networking, be sure to highlight those. Do you attend Chamber of Commerce events, have relationships with Wedding Coordinators, Photographers, Caterers, etc. Let the interviewer know that you are bringing value to the company. The last thing they want is someone who will just wait to be told there is an event coming up.

Be selective! Deciding where to work is a two-way street. Be sure you're considering them just as much as they're considering you! Spend some time figuring out what's important to you in your next role, and then ask relevant questions to find out if the job you're interviewing for will meet those needs.

There are a few questions that I really like to ask during an interview. 1. What do you like most about your job? 2. What do you find most challenging about your job? 3. What are the career advancement opportunities are available?

There is nothing better than a team member who is the right fight and who loves their job. Remember that you are interviewing them too. Ask questions about their core values and the culture of the team/company. What is their regular communication rhythm and what is the accountability process and structure of their company (who do you work with and answer to). Find out if you are the right person for the position and if they are the right company for you.

I always like to see a candidate with questions that are prepared in advance/written down. It means that they took time to think through the process and are truly interested in the job. As a candidate, I like to ask what they see as the benchmarks for a successful hire to meet. It really helps highlight what the hiring manager values in an employee, which allows me to see if their values are in alignment with mine.

Ask them what does a successful work history look like for the person they plan to hire. Get their expectations outfront so you can respond with that in mind. Understanding their needs helps you to craft your responses.

It is a privilege to be asked to interviewed. Be sure to show appreciation for the opportunity of consideration. After the interview, shoot them an email to thank them for the experience.

Gratitude and followup! Show at the end of the interview, and again after the interview, that you appreciate the opportunity to interview and the potential to work with them. Could be a simple call, text, and the best would be an email in todays world. 15 years ago I would have said a physical thank you card, but that isn’t on par with todays digital world. Find what kind of message works for you but convey gratitude for the time they gave for the interview, and the potential opportunity.

I’ve learned to look for what’s missing. Here’s an example: In the past I interviewed for a company in an emerging industry. The industry itself wasn’t being taken seriously and had little or no presence on the state or national prof. development landscape. I designed a conference for them by offering all the typical components but Industry specific: keynote universal message; state/fed regs; trends; best practices; ethics; business. I prepared a full line-item, scale-able event budget with REG fees, industry sponsors/exhibitors for revenue positive outcome. Providing more than a fictional event but something achievable by including their known, key players from their emerging industry gave the creation a pulse. Event profs build.

Do your research! Review the organization’s website for details: mission, history, executives, board members, etc. It’s important to let them know you took the time to learn about them prior to your meeting. Respectfully offer advice to enhance their online profile (website links that may be broken, missing supporter names, etc., for example). Learn what their specific niche is that stands out from others in their field. Be interested more in them than trying to impress with your own skills.

Share specific stories from past events you've organized, focusing on challenges you overcame and your successes. Express what excites you most about event planning, be it creative design, executing plans, or bringing people together. Discuss how you stay informed about industry trends and what inspires you. If you have a portfolio, bring it to visually demonstrate your work. Highlight your commitment to continuous learning and growth in the field. Exhibit enthusiasm through your body language and tone. Ask insightful questions about the company's event planning approach, showing your active interest and engagement with the profession.

To have a larger impact and staff appreciation in planning an event, I always add special, personal touches. I’ve gotten great feedback by providing home, baked goods on my beautiful trays, creating beautiful fresh flower bouquets, using tablecloths, special lighting, and even soft background music -usually smooth jazz. When my boss, a VPGM, walked into the meeting I had coordinated, she was blown away by all the special touches, and gave me a hug. One younger staff who walked in said, “Oh, it feels like I should’ve dressed up for this meeting.” I also created a slide that I put up on the big screen, welcoming everyone to the event.
