Whenever I start a big research endeavour, I find it helpful to create a research brief to align on expectations with key stakeholders. This brief typically lives in a collaborative document tool, such as MS Word or Google Docs. I like to include the following topics: 1. Background - How did we get here? 2. User Problem - Why does it matter to them? 3. Business Problem - Why does it matter to us? 4. Decisions - What will we do with what we learn? 5. Timeframe - When do we need to make decisions? 6. References - What do we already know about it? Once we have alignment, we move on to defining methodology, participants, and timelines. The important part of this process is the conversation happening on the brief's comments as it evolves.

2 Recruitment tools

Once you have your goals, you need to find the right people to participate in your user research. Recruitment tools can help you source, screen, schedule, and incentivize your participants. Depending on your budget and needs, you can use different types of recruitment tools, such as online platforms, social media, email, or referrals. Depending on your organization, it may not be hard to reach out directly to your pool of existing users. It's probably good to offer some sort of incentive for participation, and you might be able to pay a little higher than what they would get from online recruitment tools. If you don't require a specific user type for your test (this may depend heavily on what you are testing), it's even possible to pull people from other parts of the company that may be unrelated to the work you do, or even off the street.

After you have your participants, you need to create and run your tests. Testing tools can help you design, conduct, and record your user research methods, such as surveys, interviews, usability tests, card sorting, or eye tracking. In my experience, data analysis is where I spend most of my time working with tools. When analyzing qualitative data, I use Dovetail, which fills different roles, mainly video and audio transcription, data coding, and data management (e.g., data retention, access control). I like Dovetail in particular because it can also serve as an insights library, with interesting features to enable stakeholder engagement (e.g., commenting, liking, etc). When analyzing quantitative data, I mostly rely on spreadsheets (i.e. MS Excel and Google Sheets). They are flexible and have great built-in components to enable you to run more sophisticated analyzes.

An alternative to sharing the insights is using Google Slides, the important thing is the insights are received by the stakeholders, so we can assume we are all on the same page. Tips: don't forget we can use AI as our writing assistance to speed up our progress.

Keep in mind that the real value of our work as researchers is not in our tools. Our value is not in collecting data or sharing documents. As researchers, our main role is to influence what gets done, and what doesn't get done. Tools just help us get there.
