I usually use the scenario method 1. Identification of potential scenarios: 2. Analysis of consequences: 3. Assessment of probability: 4. Identification of risks: 5. Risk mapping: By combining information on the consequences and probability of each scenario, a risk map can be created that ranks risks in order of importance. This helps visualize the most critical risks facing the organization and allocate resources effectively to manage them. 6. Development of mitigation strategies: Once the risks have been mapped, mitigation strategies are developed for each identified risk. A list consisting of theoretical solutions. Not all theoretical solutions for a specific conflict are practical, but it is important to analyze them carefully. Sometimes, we can understand a conflict better if we know why it cannot be solved with some of the solutions mentioned in the list.

Think backwards from the future to figure out who should be on your crisis team now. Who are the key organizations that will probably be involved in recovery and clean up - e.g., community affairs, legal? What groups will be impacted - e.g., customers, employees, suppliers? What external groups will start knocking on your door after the crisis hits - e.g., regulators? By imagining all the groups that will eventually be pulled in before a crisis is fully in your rear view mirror, you can ensure you get the right people on it at the right time.

A strategic crisis communication framework I find especially useful is the IDEA model developed by Prof. Timothy and Deanna Sellnows. IDEA stands for: I - Internalisation ("Why should I care?"- start by drawing attention to the issue/situation and motivate receivers to attend to the message); D - Distribution (Reach your target audiences via appropriate channels); E - Explanation (Timely communicate what is known and what is unknown, use language adapted to the target audience); A - Action (What is the appropriate course of action in the unfolding crisis situation?)

Setting up a regular schedule of communication can help avoid confusion. If every communication is ad hoc, people will wonder what triggered the timing. "Did something else just happen? Has this gotten worse?" If you have a regular schedule, it allows you to keep things in perspective. If something urgent does require immediate communication, don't wait unnecessarily for your next planned communication. That deviation from schedule will help emphasize its urgency.

Crisis communication involves effectively engaging with various audiences. It's crucial to clearly define what to communicate, the target audiences, who will deliver the messages, the channels to be used, the key messages, and the frequency of communication. This communication plan should be meticulously crafted and then implemented as planned to ensure consistency and clarity throughout the crisis.

Maybe you should define your own DEFCON system before you need it. The US military created the DEFCON system to prepare for crisis management. Each level initiates different predetermined activities. Policymakers make the call on when a crisis has graduated to a new level. It can be useful to define a few graduated levels of crisis response in your own organization. You do that by predetermining what scenarios would trigger different responses. For example, "if #X or more customers are impacted the CEO will convene an emergency meeting of all C-level executives to manage crisis response." Or "if an employee, customer or other stakeholder is injured requiring hospitalization, then ... crisis response processes will be initiated."

Monitoring is a key component of the Crisis Management Plan, involving the observation of business context, regulatory changes, technology, media, environment, laws and regulations, competition, and more. Monitoring goes beyond just media and social networks; it involves tracking all contributing factors that can affect strategic risks.

Never let a good crisis go to waste. Convene a post-action meeting with all the key players as soon as the smoke has cleared. Ask each participant to share at least 2-3 lessons learned. Assign someone to capture those into a document and share appropriately.
