Explicit knowledge is the formal and codified information that can be easily documented and communicated, such as policies, procedures, reports, manuals, and databases. Tacit knowledge is the informal and personal knowledge that is embedded in your experience, intuition, judgment, and relationships, such as best practices, lessons learned, tips and tricks, and network contacts. Explicit knowledge is easier to transfer, but tacit knowledge is often more valuable and unique. You should prioritize the knowledge that is most critical for the performance and continuity of your role and the organization, and that is not readily available elsewhere.

These are often not considered in today's world yet are some of the best ways to both help convey learnings as well as the culture of the company and how best to approach and execute the knowledge.

There are many methods and tools to choose from, but they can be broadly categorized into two types: codification and personalization. Codification methods involve creating and storing written or digital records of your knowledge, such as manuals, checklists, templates, FAQs, wikis, blogs, podcasts, and videos. Personalization methods involve direct interaction and communication with your successor and other stakeholders, such as mentoring, coaching, shadowing, debriefing, storytelling, and networking. Codification methods are more scalable and durable, but personalization methods are more effective for transferring tacit knowledge and building trust and rapport.

The codification are extremely effective for long term knowledge transfer opportunities. There are many options for storing this data such as electronic knowledge libraries, videos, SOP’s, process mapping, etc. The tacit knowledge transfer is more experiential with coaching on experiences that were large turning points in business, industry, &/or economic. These are vital areas to share, as todays leaders don’t have the luxury of time with their successors, and there aren’t enough experiences that can come in their direction to season them for the positions of leadership. Both aspects of codification and tacit knowledge transfer are essential for appropriate grooming and mentoring of the next gen. Leaders.

3 Plan and execute the transfer process

The final step is to plan and execute the transfer process, which should ideally start well before your departure date and continue until your successor is fully confident and competent in their role. You should define the goals, scope, timeline, and responsibilities of the transfer process, and communicate them clearly to your successor and other stakeholders. You should also monitor and evaluate the progress and outcomes of the transfer process, and provide feedback and support to your successor as needed. You should avoid common pitfalls and challenges that can hamper the transfer process, such as lack of time, resources, motivation, or trust; information overload or underload; cultural or generational differences; or resistance to change.

Knowledge transfer is a vital part of any practice management transition, as it ensures the continuity and quality of the services and operations of the organization. Transitional exercises can add value to the new leader and the existing team that they will supervise. It can be essential for a smooth transition to acknowledge the past leader if what worked well and what their communication style was. Then compliment the new leader with gaining a clear understanding of their leadership style, expectations and how the team plans to succeed and reach goals under their new leader. Acknowledging the legend and their smooth exit, while edifying the new leadership allows for transitional change and intentional thought towards the new team considering their success with the new leadership. Full transparency, accountability and acknowledgment allows for all voices to be heard.
