Knowing your audience is important of course, but in a multi generational workforce you will still face the challenge of trying to craft a message that reaches multiple generations. One method that works is to try and include those multiple generations in delivering your message. If a new policy or procedure is being introduced include different generations in the team delivering the message. Perhaps you can leverage members of one generation to message one change, and a different generation to message another. That way ALL your employees will see that they are "represented" in the messaging.

It should be introduced in a variety of ways: links/attachments via email, pass out copies to non-office workers, post in the time and attendance system, add to TV monitors in breakrooms and post to the intranet. Perhaps you post QR codes around your office or facility that lead to a digital copy of policy or updates, and have paper copies available at designated locations; digital library, video playlist on repeat in the breakroom, quarterly or biannual 'town hall'? It's important to choose multiple ways to communicate and to make accessible any information that is vital to employee success.

It is also SO important to consider how the message will be received when deciding what channel to use. If it is controversial or may not be well received, a face to face conversation is likely to be more suitable, or if there will be low impact or indifference then a simple email will surely do the trick.

A powerful tool i find useful from my own experience is a simple short videos by the leaders of organizations explaining the policies and reason behind it along with a one pager distribution to help digest the information further. Use visual handbooks and distribute then along with company annexes. And as HR listen to your employees and don’t be defensive of company policies all the time.
