What are the most effective ways to communicate across departments?

It's helpful to dedicate time for members of different departments to share personal stories and create meaningful connections to set the stage for effective communication moving forward. For communication to be effective, trust needs to be established.

En mi experiencia, las empresas adhieren al principio que indica que las fallas de comunicación son un problema en sí misma, y que pueden ser erradicadas. Pero, en la práctica, éste suele ser síntoma de una enfermedad mayor, más arraigada y perpetua a lo largo del tiempo: la falta de transparencia. Los pasillos y oficinas de las empresas están repletos de personas que no encuentran su razón de ser, acaso porque no conocen el para qué de su rol, acaso porque se han acostumbrado a la desidia. Mi sugerencia es que se revisen, antes que cualquier otra cosa, estructura + personas + procesos, todos aspectos fundamentales.

Create a culture of habits and routines, where leaders are able to clearly communicate any aspect of the organization and subsequently, all leaders ensure their understanding, in small specific meetings for this purpose.

Goal setting as a team, and then developing dashboarding to measure success is extremely important, with set communication cadences where stakeholders who contribute to that dashboard's stats meet and report on their performance. I find it very helpful to have these discussions weekly, especially when two teams contribute to one KPI's success. When goals are behind, it spurs conversations about hand-offs, and how those hand-offs can contribute to inefficiencies.

In my experience a face to face meetings are the best way to convey your message and bond as a team. Eye to eye contact and body language affords the maximum opportunity to clear the air and have everyone tracking on the proper course.

Trust and rapport, may sound easy to read and speak and equally difficult to practice. Building trust is one of the key pillars in not only a cross functional task but also a task involving your own team, organisation or company. Rapport is a subset of building trust, or vice-versa. Rapport is built when you have trust in an individual, team or organisation or trust is built when there is camaraderie and rapport. Acknowledging different perspectives, celebrating each others achievements, being empathetic, being honest and speaking your mind respectfully enables teams and individual to build a cross functional trust and rapport and henceforth helps in moving forward.

I feel there are 2 key responsibilities one has when communicating, especially across departments. 1. Treat every message like it's going by carrier pigeon. Keep it compact and precise, and follow up to make sure it got there. 2. Be knowledgeable about the other departments' duties/needs/processes beyond your scope of hand-off. Once you hand off your "product", it won't be used the way you needed it. But since you are the intimate with the package, you are the one best suited to make sure it's translated to a format the recipient can use/understand. This is from receiving many multi-channel messages from people who thought giving me their raw research piles was helpful. If I have to do their job too, why are they in my workflow?

Trust can be built non verbally, too! When we drum together, the collaboration strengthens our bonds, building our trust of each other. Before your next meeting, invite those around the table to join you in a simple beat on the table. Play for a few minutes, experimenting and encouraging each other. Smile and have fun! It will feel like play, and be improving your rapport.

Learning from Jargon: Being lost in jargon-laden talks taught me to seek and offer clear, example-driven explanations.

Involve different stakeholders for conversations and dialogue prior to the official communication. 2. Validate what is communicated through good follow ups and clarity. 3. Invest time and appoint stakeholders to provide clarifications and directions on what is communicated. 4. Make communication short and simple with clear goals and accountability 5. Make engagement champions in the organization who would be potential ambassador for Effective communication .

Every organisation I have worked have their internal language, what I found to be helpful is to publish the most common of these and ensure when people are onboarded that they get a copy. Of course it needs to be updated as the language expands. It all helps to assimilate into your new environment

We could achieve this by adapting different styles and preferences of our colleagues. Different individuals may have different ways of communicating, such as being more direct or indirect, formal or informal, expressive or reserved, or analytical or creative. By recognising and respecting these differences, we can tailor our communication style and approach accordingly. Additionally, seeking feedback and observing others' communication styles can help us further refine our own approach. By embracing diversity and adapting our communication style, we can foster understanding and collaboration among various departments.

This topic hits home for me as I prefer a direct communication style. I like information distributed clear and to the point. I once had a manager who thought that I was not the right fit early in my sales career. They wanted to fit me in a box that I did not fit in. I later switched and was paired with a manager that understood my style and thrived in that atmosphere. Sometimes it’s not a right fit or there’s an opportunity for improved communication and understanding.
