What are the most effective ways to combat rumors and misinformation during a crisis?

It would seem the better question is to ask why they started in the first place, not where or why they are spreading, imho. Answering that question leads to understanding any miscommunication that has already been made when there is clear and present danger. In crisis management, a message is already in play whether it's realized or not. Transparency, perhaps full disclosure, is imperative in examing and exposing the willingness to view prior communications and or miscommunications first. 'Authorities' tend to think less of their audience and treat them as less intelligent; tone and voice of written and/or verbal communications. There is a sense of 'hiding' information, so multi-tiered (reading level) communications are essential.

The first and most important point is "Refrain from touching the two extremes. i.e. No communication and Over-communication." Take the following steps: 1- For Internal people: Take your employees and investors in confidence by being truthful to them 2 - For External audience: Be truthful but with mindfulness. Communicate facts. Be authentic.

I would say stick to the facts and avoid taking a defensive position. Do not make excuses, or use blame tactics. Be clear, forward looking, and fact-based and allow your fanbase (if you have one and have a good reputation) to defend you instead. And do not use negative language like "rumors, misinformation" in your communication. Associating yourself with any "negative" wording is what people will remember. Instead "we want to clarify X" "we want you to know about Y" "This is what happened, and this is what we are doing about it". etc. For consistency, ensure your key messages are communicated across all stakeholders in your organization so that you have clear consistent messaging across all channels, and update as needed.

Keeping an eye on how people have reacted to these rumours makes you think in the long term about how to deal with similar situations in the future (whether invented or real) and allows you to understand the organizational climate.

It is important to have dedicated ‘Crisis Response Team’ during such times to manage the entire communication piece. They can operate in two ways 1. Continuously monitor and address false information as it arises. 2. Implement the clear guidelines on information sharing and social media use

Track, monitor and use this data to plan. Leverage listening tools across media, social, search engine and use data science to cluster the evolving topics within the online narrative as relevant and authoritative (big impact). By learning how your narrative is evolving you can play to your strengths in responses to a story. Pay attention to buzz words or phrases as these can be seeded once the crisis is over to shift perceptions online.

I have learned that face to face interpersonal communication is a tool that combats the effects of negative rumours and misinformation. Coming together if possible, on a regular basis, with one's team or cohort to talk about concerns and issues related to negativity, can be powerful and empowering for individuals and groups.

We have adopted "Practice Management By Wandering Around". The closer you are to your team and employees, the easier it is to communicate information and the greater the sense of trust. This also provides you an opportunity to hear rumors when they start, instead of only after they spin out of control.

It’s extremely important to state exactly what you know, what you don’t know, what you can do at this time, what you can’t do at this time, and what the goal is by continually communicating with the audience that’s invested. For example, “Our goal with these updates is to provide our communities with information that they can utilize. As soon as we have updates we will be as transparent as possible.” This kind of open and honest communication inspires and generates trust.

A well-defined plan simplifies the process of dealing with disinformation and provides a consistent and coordinated response.

Partnering with credible third-party organizations, experts, or community leaders can help amplify your message and establish trust with your audience. Building relationships with these trusted sources in advance can be beneficial during a crisis, as they can provide valuable support and validation for your information. Remember to always listen to your audience and address their concerns with empathy and respect, as this will strengthen your relationship and credibility in the long run.

The key is to lead the story-telling. Acknowledge facts already out, set the record straight on any misinformation, say what you're planning to do to fix things, carry through on your plan, report back on progress, discuss internally how to avoid future similar snafus, tell the world what you've learned. Remember, the focus is always on people - not process, politics or profits.

In my experience learning about misinformation and disinformation landscape and identifying concerns, intent, patterns - the one key learning has been to stick with facts, adopt a tone that demonstrates integrity, and always be forthcoming in calling out harmful information while also working on filling information gaps with good, updated knowledge. At times lack of quality information gives way to rumours, projections. Disinformation is another minefield where actors are deliberately spreading falsehoods to cause harm. This requires collective effort which is legislative, educational, media literacy and guidelines on information integrity and more.

In 2020, during the onset of the COVID-19 pandemic, New Zealand’s Prime Minister, Jacinda Ardern, utilised clear and straightforward language to convey crucial information and guidelines to the public. Her consistent, empathetic, and easy-to-understand communication, often through live videos on social media, not only facilitated widespread compliance with health guidelines but also counteracted misinformation. By personifying transparency and using relatable language, Ardern created an inclusive communication environment that helped in maintaining public trust and minimizing panic, showcasing the tangible impact of clear communication during a crisis.

Acknowledge that speculation and rumor may be generated, but be clear about the facts as they stand, what information sources can be trusted vs what (type of) sources may not be reliable. It's also reasonable to encourage people not to speculate and be responsible, by discouraging others from doing so - instead, where questions arise, outline which channels they can use to seek answers.

In a campaign about natural disaster preparedness, we prioritised clear, simple language. Our messages, like "Create an emergency kit with food, water, and first aid supplies," enhance understanding for a wide audience. Simple instructions minimise confusion, reduce fear, and empower individuals to take action. Clarity ensures the message reaches everyone, building trust in efforts to keep the community safe.

In the case of a crisis following a severe weather event, I found that not only utilizing our traditional media spokespeople, I brought in subject matter experts who could clearly speak to an infrastructure rebuild. We made them available on daily morning conference calls where we allowed multiple questions from media. Sometimes, the government entity, business, or individual isn't the most "trusted" source during the crisis. However, this is when the relationships you've built over time can come to your rescue. Call on other trusted entities to help share your messages and to support you during the time of crisis. The time to build those relationships is before a crisis, not during a crisis.

Through COVID, we learned that seeking feedback from employees and setting up small group interactions with leaders was helpful to combat and dispel rumors. We used small group Zoom meetings, business unit town halls, live information sessions on benefits, and other live events. Employees could ask questions, make comments, and interact with leaders. Often, we had similar questions across sessions, but it more importantly, made employees feel valued and connected.

By having a regular time of the day or week, depending on the nature of the crisis, to provide your update, the narrative can be owned and the risks of a communications vacuum can be mitigated. Regular, authentic, transparent communications create trust.

From my own experience, I'd like to emphasize the importance of authenticity in engaging with your audience. Authenticity breeds trust. Be genuine in your interactions, admit when you don't have all the answers, and be willing to learn and adapt based on feedback. Authentic engagement not only strengthens your relationship with your audience but also reinforces your credibility in combating misinformation.

When it comes to internal teams and functions meeting face to face/ virtually on line is essential. Being able to have discussions that are open are key to creating a new story and narrative. It also shows you are invested in the people and getting the right outcome. You are being proactive and care about the message being put out across the organization. Face to Face allows you to make a connection, give people the chance to ask questions directly and respond to misinterpretation in real time. In the early stages it is essential that you make a positive impact and show genuine confidence.

In battling crisis-related rumors and misinformation, a key but often overlooked aspect is nurturing proactive digital communities. Establishing robust online forums, social media groups, or dedicated spaces where stakeholders can access accurate information, ask questions, and engage with experts fosters a sense of belonging and trust. This preemptive approach not only strengthens your information dissemination but also empowers your audience to become vigilant against false narratives, collectively combating misinformation. By creating a space for constructive dialogue, you empower your stakeholders to be your allies in maintaining accurate information during times of crisis.

It's critical you have ongoing means to update your internal teams and this can comprise of - weekly team updates on line/virtually - short video updates - summary of progress, challenges and solutions in writing via emails and intranet Note I would focus on video/face to face engagement at critical points to be able to make a connection and ensure everyone is getting the same message at the same time.

During crisis, it's easy to "run out" of content and sometimes you will feel that you are being repetitive or that you have "nothing new" to say. But you know what's worse than being repetitive? Staying silent. During a crisis, the last thing you want is to do is to stay silent. Make sure to establish a cadence for your updates and stick to it, even if you have nothing new to say.

Handling a crisis communication strategy can be emotionally taxing and lead to burnout. Don't forget to take care of the wellbeing of yourself and your team. If the situation is evolving, create shifts so that individuals have a chance to unplug and return to work well rested.

When lies exit as abject subversion of truth, very few are above the across-the-fence conversation. Research says that our brains are hard-wired to retain only the most information about people. Our grey cells simply don’t have enough space to remember every intricate detail, white or grey, about every one we meet. The most damaging rumours can be non-factual things. These are impossible to substantiate: future events and past mysteries. Nobody can know the future. And the circumstances surrounding the mystery can’t be ascertained. Real science backs the idea that perception can be swayed with rumours. Without any proof of someone’s innermost sanctum of feelings and thoughts, the Devil’s advocate will win hands down.

Have a clearly defined, communicated and understood incident management plan and business continuity (response) plan, so that people are aware of what might happen when an incident or crisis occurs (can be applied across contexts). Knowing what constitutes varying levels of incidents, how they will be dealt with, the timeframes, the communication and feedback platforms that exist and where to go for support, takes away the unknowns. Having people co-design, review and participate in business continuity simulations, also gives a sense of control - and may contribute to people taking a solution based approach to help support business recovery and each other - vs a threat and rumour state that.
