What are the most effective strategies for managing a heavy workload?

Setting SMART goals is like making a to-do list but with superpowers. It's about being clear on what you want, figuring out how to know you're getting there, making sure it's doable, checking if it matters to what you're doing, and giving it a due date.

One of the most effective strategies for managing a heavy workload is setting SMART goals. This mnemonic acronym was first published in 1981 in Management Review, so it has survived the test of time for at least a few decades. It has been modified to SMARTER, SMARTIE, SMARTTA, really just see Wikipedia as usual for everything for the complete list and history. Personally I do not use mnemonic acronyms. I just get my work done. People tell me these sorts of statements are asinine and unhelpful, but I just ask them how far behind on their checklists they are. I think the point here is simply find systems that work for you, I feel the pendulum is starting to swing back the other way on checklist style madness and engineer style optimization.

One approach that always impresses me when facing a heavy workload is how NICU nurses deal with unexpected cases that require critical care. They handle their workload by understanding what needs to be done, prioritising tasks, assessing staff availability, and delegating tasks based on competency and case severity. The workload can be managed more efficiently, and reduce stress levels by setting achievable goals using SMART objectives and avoiding multitasking, which can decrease productivity and increase errors, utilising time management techniques such as the Pomodoro Technique (working in focused bursts with short breaks), time blocking and applying Pareto Principle (focusing on the 20% of tasks that yield 80% of the results).

Focus on high-priority items first. Create a schedule or plan : Break down tasks into smaller, manageable. Set realistic goals : Be mindful of what you can accomplish in a day. Avoid overcommitting and set achievable goals to prevent burnout. Take regular breaks : Schedule short breaks to rest and recharge. Maintain work-life balance: Prioritize self-care, exercise, and hobbies.

Adopting SMART goals lays the foundational blueprint for productivity by channeling energies into precise, quantifiable, and attainable tasks, ensuring meaningful progress is tracked and aligned with larger objectives within set deadlines.

Part of breaking down tasks is deciding which tasks have the highest priority and targeting those first. You should also think of ways some tasks can be streamlined. Finally, don’t be afraid to get help. Can some tasks be effectively delegated? We can always work smarter even when the workload is high.

In breaking down your tasks, seek first to ELIMINATE anything that doesn’t further your most important goals, then AUTOMATE as many remaining tasks as possible to avoid time repeating uninteresting tasks. This will help you maximize progress and minimize burnout for long-term success.

Breaking down tasks is like slicing a pizza smaller slices are easier to handle and enjoy than trying to gobble the whole pie at once. It's about turning your workload into bite-sized, manageable pieces so you can savor each task without feeling overwhelmed.

Splintering complex work into smaller, manageable tasks demystifies daunting challenges. It sharpens the focus, aids in resource allocation, and streamlines scheduling, making an insurmountable workload palpably conquerable through meticulous organization and strategic planning.

Write down your goal. Break it into small tasks and set a deadline. Stick to it and try to finish in the stipulated time. Once you start achieving your small ones, you will push to unlock the rest tasks. In this way, you can achieve your goals and won't get stressed off.

So, I don’t agree with this matrix… hear me out! Regardless if the task isn’t urgent or important, it’s a task nonetheless; you can’t just avoid/delete it! Try reaching back out to the person who assigned the task and reconfirm the deadline & priority. I’ve bust my butt (can I say that on LinkedIn?) to meet a deadline only for it to sit in someone’s inbox while they’re on PTO ??. On the flip side, you don’t want to be the person holding up a deliverable because you thought it wasn’t important enough compared to the rest of your workload and didn’t do it (don’t be THAT guy/girl). To eliminate confusion I always ASK for a deadline. So when in doubt, double/triple check. But don’t just delete a task without being given the OK ????♀?.

This method is my most preffered method because it allows to quickly reprioritize with just two questions. Do I have to do this? And do I have to do this now? In addition, I love to write down my tasks so that I can cross it put as soon as it is completed or I can tranfer it for a later date. Great tools are ClickUp, Google tasks or a post it.

Whenever I am doing something, I do take a break after a point of time and eat chocolate or any munchies I have available that time. Pomodoro is also kind of that but with a very systematic way, This technique isn't just about ticking off tasks, it's about maintaining your focus, motivation, and energy throughout the day. By using Pomodoro, you not only prevent burnout and fatigue, but you also gain insights into how much time each task requires.

I use the Pomodoro technique but add physical movement to my breaks. Research supports the value of walking to increase creativity as well as the idea that physical movement alters the thought process. My breaks may go a bit longer than exactly five minutes to accommodate this brief physical activity, but it seems to work for me.

Regular review of tasks, key achievements and activities help in tracking goals also achieving as well tracking milestones. Reflection and learning from regular review help in improving strategies and overcoming challenges to manage task completion, performance and in achievement of milestones.

Regularly reviewing and reflecting on your work helps you see what you're good at, learn from mistakes, and get support when needed. It boosts skills, confidence, and helps adapt to changes.

In my Experience, review of the progress is as important as doing the task itself. Soemtimes review gives an understanding of the shortcomings. Looking back at the work done frequently is like self evaluation which alos gives better experience and understanding of doing the task in more efficient ways and gives self confidence with the review being done at regular intervals.

The ‘review & reflect’ strategy doesn’t require much elaboration. However, there are a few tips I’d like to share to make it more useful. Tip one - keep a small journal nearby; when you review & reflect, write down your thoughts. You will find the journal to be an invaluable ally, enabling you to recall details that otherwise would be forgotten - helping you to better learn from your experiences. Tip two - dedicate a regular, small window of time to review & reflect each week. It doesn’t need to be more than 15 minutes, just commit to the practice. Also, give yourself the freedom to pull out your small journal when a sudden thought hits you. Sometimes, as I walk or do some physical activity, my mind will replay events. Go with it.

Regular self-review serves as a compass for continuous improvement, enabling you to dissect performance, capitalize on strengths, refine skills, and pivot from setbacks. It’s an introspective journey that tracks growth while adapting to ever-evolving work landscapes.

I find the best way to deal with a big workload is to start with the “quick wins”. Get some of the easy shorter tasks out of the way first. For me this builds up “momentum” for the heavier lifting. In my case, while dealing with the “quick wins” my brain is working in the background on strategies and tactics for the bigger jobs. In hindsight, saying ‘no’ is a very valuable competence.

In addition to the aforementioned strategies, unloading the "mental workload" after work and during rest time can be beneficial in reducing stress, decreasing errors, and improving efficiency during work time. Taking a real mental break when not at the workplace is essential for maintaining long-term productivity.

Esto se traducía en que debíamos realizar primero las tareas que eran obligatorias y tediosas, para luego realizar las tareas que nos gustaran hacer. Se puede traspolar a nivel laboral, considerando que la autodisciplina es uno de los hábitos menos conversados, pero a mi parecer, los que marcan más la diferencia en un empleado, especialmente cuando se trabaja en forma híbrida o home office. Puedes tener muchos talentos y ser brillante, pero sin disciplina es difícil a mi parecer poder gestionar adecuadamente la carga laboral.
