What are the most common reasons for user resistance to new systems?

In my experience, involving users in the system design and implementation process has been essential to the success of my projects. When I first started out, I didn't involve users, and I had many problems with resistance and adoption. Once I started involving users, I saw a significant improvement in the success of my projects. Users were more likely to be satisfied with the new system and to adopt it quickly. Here's an example of how I've involved users in my own projects: I created a user group. I created a user group to get feedback from users on the new system. I conducted surveys. I conducted surveys to get feedback from users on their needs and preferences.

Common reasons for user resistance to new systems include fear of change, lack of understanding, perceived loss of control, unclear communication, insufficient training and support, resistance to learning, negative past experiences, perceived threat to job security, cultural and organizational factors, and technical issues.

Lack of involvement could be due to many reasons and it can be solved. Executive sponsorship and encouragement is essential for achieving meaningful contributions from users. Enlisting first believers from within the user community initially and utilising them to then build a tribe of supporters and promoters is the best approach for this. On going training should form part of this activity from the very beginning.

In my experience, when users are not involved with the acquisition of technology from the start and stay involved to completion. Then the maximum potential for success of the project is severely diminished. Participation is key to adoption!

This will help users understand the need for change and see the value of the new system. Provide training and support. Provide users with training on how to use the new system.

The fear of change is not always around the "new" system but a disruption to their workflow and current systems. In my company's environment there is a handful of vendor and machine specific applications that are usually untested before the change and can cause major disruptions if not compatible. This can be overcome by identifying them and parallel test them on a new system while allowing access to current systems until all functionality is achieved. This then lessens the fear and builds trust.

It’s common to forget that lots of people find satisfaction in being proficient at their work! Even with good change management and leadership reassurances on lost efficacy, many people just don’t want to lose their area of proficiency. While you can’t always get everyone on board right away, accounting for short-term safety nets and feedback loops for post-change maintenance is key to managing the human aspect.

As an example I have seen that healthcare professionals who often have busy schedules they found it disruptive to learn about the new workflows specially if the benefits are unclear. They would resist if they don’t get convinced of how the new system can improve their efficiency and patient care. Specially if they have to do more data entry and documentation they question the value of it. Clear communication will help them in comparing the incentives between systems and helping them seeing the value and get motivated in learning and using the new system.

Users are more likely to adopt a new system if they see a clear benefit in doing so. This benefit can be in the form of monetary rewards, increased productivity, or simply a better user experience. Make the incentives clear and visible. Users should know what they can get when using the new system. This information should be prominently displayed and easy to understand. Tailor the incentives to the user. Different users will be motivated by different things. Consider what your users value and offer incentives that will appeal to them. Make the incentives easy to obtain. Users should not have to jump through hoops to get the rewards they have earned. The process of obtaining incentives should be simple and straightforward.

Incentives for change can be easily explained without going overboard. A 300 level explanation is not required - high level overviews will build excitement about the use of new architecture. Examples such as "your old process took 2 dozen clicks, and the new process uses 2" builds buzz and excitement about upcoming change instead of fear and mistrust of what possibly may be different and unwanted.

Users should have avenues aside from the IT desk to answer questions about system use and operations. This normally comes from power users in the org - not IT staff, but department leads and other heads that generally have the team reporting to them. Those are the first folks people ask questions of. Giving them the tools to help their team succeed is key. This can be videos, documentation, office hours; Microsoft has Learning Pathways, there are other document and knowledge repositories that will let the end users and power users know how things are supposed to function. They should not feel as if they are being left out in the cold with any questions they may have.

Awareness is related to 2 things: 1. What the ultimate users will achieve and 2. Whether the supplier of new system will able to serve. Many times there will be some resistance from the ultimate users i.e. people at bottom level, to whom there is strong need to create awareness on how they will able to achieve more efficiency by adopting new system rather than the top level management only think about their own benefit. It's matter of inclusive growth which ultimately leads to success in implementing new system as well as efficiently achieving overall business objectives.

Acredito que temos um aspecto que é a própria resistência e os famosos paradigmas, pois em alguns casos há uma grande resistência do colaborador pois ele sempre fez assim e sempre deu certo, ent?o porque mudar?
