Knowing your audience is definitely key because it’s like working with the end in mind. On the hindsight, whatever we communicate to our stakeholders, we would need to know what’s in it for them because stakeholders would surely want to know what’s in it for me (WIIFM) in this communication. Tailoring our communication strategy to the expectations, needs and interests of stakeholders would surely also keep them engaged with whatever would be the communication medium too. ?

2 Define your purpose

The next step is to define the purpose of your communication and the desired outcomes. What do you want your stakeholders to know, feel, and do after receiving your communication? Do you want to inform them about the goals and objectives of the plan? Do you want to persuade them to support and participate in the plan? Do you want to inspire them to share your vision and values? Do you want to solicit their feedback and input on the plan? By clarifying your purpose, you can craft a clear and compelling message that aligns with your stakeholder's interests and motivates them to take action.

Purpose defines and drives the tone, context, content and structure of your communication. In addition, don’t lose sight of the hindsight on what’s in it for the stakeholders with your communication strategy. For example, if your communication strategy is for stakeholders to decide and react with your communication, then always bear in mind how the information you communicate would have a positive impact or how stakeholders would benefit and gain from your communication. And remember to nudge for the call to action at the end of the communication. Provide options on the methods to respond. Provide alternatives to ask questions or seek further information.?

Once you have defined your purpose and message, you need to choose the appropriate channels to communicate your strategic action plan. Channels can include written, verbal, visual, or digital forms of communication, such as reports, presentations, newsletters, emails, videos, podcasts, webinars, or social media. From experience, the best way to know the best channel or medium of communication is to ask the stakeholders themselves. Get stakeholders to choose which medium would be their most preferred way to communicate. Give options and get stakeholders to choose or rank their preference on the medium of communication. Even if a preso deck is almost a standard item, it would be useful to ask also what would be the kind of information they would like to see or the information that would be mandatory to be presented in the communication material. This facilitates alignment of stakeholders expectations in the communication and presents a communication material that stakeholders would appreciate.?

The next step is to deliver your message in a clear, concise, and consistent manner. You should use simple and direct language that avoids jargon and technical terms. You should also use stories, examples, data, and visuals to support your message and make it more engaging and memorable. You should emphasize the benefits and value of your strategic action plan for your stakeholders and how it addresses their needs and challenges. You should also acknowledge any risks or uncertainties and how you plan to mitigate them. You should be honest and transparent about your plan and avoid making unrealistic or vague promises.

Perhaps another impactful method of delivering the communication message is through the use of infographics. Visuals are a powerful tool of delivering messages that captures the human mind. Visuals tend to stick the memory rather than words. Another method would be the dashboard graphical presentation. And these makes good use of visuals too.?

5 Engage your stakeholders

The final step is to engage your stakeholders in a two-way dialogue and encourage their feedback and participation. You should listen actively and empathetically to their questions, comments, suggestions, and concerns. You should also respond promptly and respectfully to their feedback and address any issues or gaps in your plan. You should also invite them to contribute to the implementation and evaluation of your plan and recognize their efforts and achievements. By engaging your stakeholders, you can build trust and rapport , foster collaboration and innovation , and improve your plan's effectiveness and sustainability.

The key thing is to always maintain open communication with the stakeholders. Provide varying options and alternatives to engage them.
