What are effective ways for non-profit organizations in event planning to build a professional network?

Writing an event narrative up front to guide the desired outcomes of the event will help focus and define the scope of work. It should define your audience and set your intentions. You also need to consider capacity when setting your goals and what level of service you are able to provide to X number of guests. Does that level of service meet the expectations of your target audience?

Nonprofit goals encompass mission fulfillment, community impact, fundraising, awareness, advocacy, partnerships, volunteer engagement, organizational sustainability, and transparency. Achieving the core mission, making a positive community difference, securing funding, raising awareness, and advocating for change are central. Strategic partnerships and volunteer mobilization enhance impact, while ensuring organizational sustainability and transparency builds trust. These multifaceted goals collectively guide nonprofits toward creating lasting, meaningful change aligned with their mission.

What has helped me in the past has been to know how to market/sell the vision. If your vision takes too long to explain or you find yourself repeating or rephrasing certain points, you are not doing a good job. Make the communication meaningful and precise. If you could "show" more of your vision than "speak" about your vision, then do so. The idea is to win people's hearts and not just make a good point or a solid pitch. What is the problem? How are you doing to solve it? And... How can your supporters assist you with your solution?

In researching your prospects, you should find out what they want. Never make your engagement with them to be one-sided. If you do, they will put the already long list of other people reaching out to them for support. So, in your research find out how your goals/vision aligns with theirs.

I agree with this statement but any non-profit should also have great follow-up with the long established membership, new membership, and encourage members to not only to connect through the non-profit but also via social media - a.k.a. LinkedIn. Aso hold virtual events where the membership feels not just connected to the issues but to others who share similar options, values, and beliefs - e.g. public television fundraising especially in the Washington, D.C. area.

In my experience, 10 minutes of online research on potential sponsors/accounts can save hours in your goal achieving process. You need to learn you your potential prospect’s mission connects to your non-profit. If you can create 3-5 meaningful connections you are more likely to have C-suite support, because your research will be evident and respected.

In researching your prospects, it can be very helpful to create a targeted guest list. What are your goals? And who can help you to reach them? What to they want, and what can you offer them? Understand their interests and contributions to tailor your engagement strategies. Utilising online platforms such as LinkedIn can be incredibly helpful to provide valuable insights into the background of people and organisations you want to involve in your event and achieving your goals.

Identifying people with common interests to the mission of the non profit makes everyone’s use of time and resources much more effective. Word of mouth through your own network is what I’ve found to be most successful, but the internet and social media also make much easier to identify new people that you may not already be connected with. Having an interesting fact or simple understanding of each key attendee increases chances of gaining their support.

Nobody writes thank you notes anymore. Do that and I guarantee you will create a memorable experience. Send this person information without any expectation in return. The goodwill you will establish creates a unique sense of loyalty from your audience. Also, it's very hard to delete a letter sitting on your desk versus deleting an email!

Social media posts of how your non-profit was able to impact a situation tangibly, then highlighting all the people who have helped, goes a long way. Give credit to those who have assisted by name unless they declined; either way, they will feel touched by the gesture and feel apart of your vision.

In my experience, an extremely impactful tactic for engaging attendees has been in building opportunities for them to make direct connections with the impacts your organization making. Whether this be inviting recipients of your support to speak and interact or creating multimedia stations, the more you can have attendees feel a direct connection with the mission, the better.

With the miracle of modern technology/communication you can now hold a virtual event for several dozen or several thousand and arranged by only a hand full of a single team member working in coordination. So look for reasons to hold virtual events to keep the membership engaged - from virtual brown paper bag events to evening broadcasts to keep the membership engaged/aware/informed. This in turn can turn a non-profit organization into a policy influencing machine like both sides of an issue such as a woman's reproductive rights.

Sharing a testimonial, or someone who has benefited from your work as a non-profit, is a powerful way to create connections at your event.

In my experience, the follow-up after a big or important event can really enhance the success of that event and the networking outcomes. However, people who attend your event are only going t leave reviews or join your online community if it's convenient. The more you can do FOR the attendee, either at the event or after, the better the outcome. For example, the use of QR codes can reduce clicks and searching time, or gatekeeping photos from the photo booth behind a sign-up link can incentivize people to sign-up during or after an event. But whatever you decide to do, it has to be easy, fast, and as frictionless as possible.

The best way to expand research is by sending out personalized/handwritten thank-you note. On the letterhead or customized post card you can have all the organization's contact info and how to follow-up if you come across information that the non-profit's membership may find of interest - like posting news articles on LinkedIn to your group's membership. Or you can include a generic business card that can be scanned, or photo taken by your mobile device or put inside a wallet or purse.

A Handwritten Note is a gift of your time. Having a personal message is important and a great way to follow up outside of regular events and Thank Yous. I write notes to “give first” before I am asking for something. Since, I work for a blood bank, I pen my notes in red ink as a symbol of the work I perform. It never goes unnoticed. Every non-profit can also find a special way to honor their work in a similar fashion, with a story or pictures. All you need is some consideration and creativity.

One way to expand your reach is to engage in social media promotion. Platforms like LinkedIn allow you to engage with a wider audience. The use of event-specific hashtags and encouraging your attendees to share their attendance and experiences might interest others in their networks too. Only need to make sure the potential content to be shared sparks interest. Not only of your attendees, but also their networks online.

Collaborating with other profit organisations and Influencers can also be used to elevate Brand awareness and promote an initiative.

Bring value! People will come to your event if you have something interesting to offer in terms of content, format, quality of people attending etc then they will come back and be part of your network. Build a culture and atmosphere based on your values. It will attract the right people - attendees and sponsors

I agree that good contacts lead to great connections. How you engage with small businesses, other non-profits, and the public are so important. The mindset that everyone is a potential supporter and no one, should be excluded will help you achieve your goals. It will take time to get out of your comfort zone of just focusing on certain demographics in donors/supporters. You should know your best supporting audience to appreciate their efforts, but don’t let that idea limit your focus.

Follow-up. We tend to be exhausted by the end of an event. Make connecting with those who attended and helped in any way a priority. As mentioned above, send thank you notes. At the end of the event, I had the valets place a "care package" in cars. It contains a cookie, some candy, and a thank-you note. This lasting positive memory is worth the effort and the minimal cost.

Volunteer at partner events. Offer your organization’s assistance in events within the community, where you’ll meet other prospective psrtners, event organizers and attendees.
