What are effective strategies for dealing with difficult colleagues?

Empathy: Approach with understanding and empathy. Set Boundaries: Clearly communicate boundaries and expectations. Document Behavior: Keep a record of specific incidents and behaviors.

Instead of labeling someone 'difficult,' focus on 'problematic behavior. Labeling a colleague 'difficult' isn't just unproductive, it hinders learning and finding solutions. Instead, focus on specific 'problematic behaviors' to avoid personal attacks and move towards positive outcomes. Phrasing challenges as 'communication difficulties' helps maintain a focus on specific actions and avoids labeling individuals. This fosters a more collaborative environment where learning and solutions can emerge.

Communication is the lubricant that keeps organizations running smoothly. Problems such as personality clashes, lack of respect, and misunderstandings typically stem from a lack of clear and honest communication. One way I've learned to deal with difficult colleagues is three fold: 1/ Give them the benefit of the doubt 2/ Let them speak while I listen to understand 3/ Remember that everyone is going through something we have no idea about I often find that conversations can be had with difficult colleagues when approached this way. From those calm and honest discussions, deeper understanding can be found and middle ground can be established to build a respectful working relationship.

Try to understand why they are having a hard time. Maybe they are stressed, feel alone at work, or have big problems at home. Listen to them and see things from their side. This can help you figure out the real issue and find a good way to fix it together. If this doesn't help and it's making you feel bad or hurting your work, talk to your boss or someone in HR for help. Stay calm and professional.First identifying your triggers will help you avoid unnecessary confrontations and emotional drain. Ask yourself: -Is this impacting my work or well-being significantly? -Could ignoring it be a strategic move? -Is there a chance the situation will resolve itself?

Ignoring the colleague is a very passive solution. In my opinion the issue needs to be addressed and moved past to ensure the problem is not allowed to linger.

People are people, and even folks you typically might not have an issue with could be having a bad day due to something that has nothing to do with you. Do not reach. Take a step back and once you are calm, then be curious. You might find out some valuable information that adds empathy to your approach.

One thing that I've found helpful is not to shy away from having the difficult conversations. To avoid them being messy, be prepared with the facts based on the issue to be discussed. Emotions can be fairly elevated during these conversations, so to prevent this stay focused on the issue and behaviour of the person. Be direct with you communications and avoid making accusations. More importantly be respectful and kind when communicating the issues as compassion goes a long way in how the information will be received!

Have this conversation verbally versus over email or Teams. When addressing an issue with a difficult colleague, keep your focus on the reason you’re at work. As a clinician the patient is the reason and remember that always. Let it be your anchor. If you work in an office, what are the goals of the organization? Focus on that when you address the situation. Stick to the facts and don’t make assumptions. Provide concrete details and listen to understand versus respond. Find common ground to get the obstacle tackled to get back to the mission of why you are there. Follow up with an email, recapping the conversation to ensure both parties are in agreement.

Assertive and respectful communication are a part of communicating with people expressing challenging emotions, but a key component is how you utilize tone and active listening as well. By showing respect and bringing your tone to an acceptable level you set the path for the conversation.

Seeking feedback does not mean feedback needs to come from just anybody. Seek it from someone who cares about your success, or someone who you are still learning to work with and its clear there were hiccups in your first interactions. Seek to understand.

Approach trusted colleagues or mentors and ask for their insights on the situation. They might offer fresh perspectives and identify blind spots you missed. Choose your confidantes wisely and respect the privacy of both yourself and your colleague.

Feedback is a gift. It would help you grow both personally and professionally. Once you receive feedback no matter what it is as long as it doesn't make you a lesser person take it constructively and use it to improve. When providing feedback, take into consideration the choice of words and how the receiver would convey and perceive the message. There should be mutual understanding between the sender and the receiver at the end.

Dealing with conflict can be difficult but it can prove to be a valid first step to improve the relationship. I encourage inviting your colleague to a 1:1 conversation and use this framework: - What you OBSERVED: choose a specific instance that created conflict between you and your colleague. - What that made you THINK: what did you think as a result? - How did that make you FEEL? - Finally, what do you WANT out of this situation? Example: During our recent meeting, I observed frequent interruptions, and that made me think my ideas weren't valued. This left me frustrated. All I want is to be a valued team member. By being open and honest, the other person will not feel criticized and might be more open to dialogue and negotiation.

Escalation is a last resort. Make sure you changed communication formats with the person first (went from email to phone, video, or in person); seek clarification. Escalation can sometimes cause long-term harm in the relationship, so proceed with caution. However, failure to escalate when things can cause a risk to the company, project, etc; can cause worse issues professionally then speaking up.

Escalation should be considered as dead end. Think twice the impact on relationship .Weigh the potential consequences of each option on career . Seek advice from trusted mentors or professionals.

Always stay positive. Many times, difficult co-workers are looking to draw others into their negativity. If you can avoid that downfall and continue to showcase the positives, you can save your own mental health and also be an example of how to handle conflict.

Do not take things personally. From my perspective difficult colleagues are not difficult “against you”. They may be facing some challenges or maybe their are some behaviors that do not resonate with you. The best way to begin peeling those layers is actually taking all bias out of the equation, this will allow you to be objective and assess the situation with a much better angle.

Sometimes a difficult colleage shines a light on the organization's culture. I once had a fellow colleague bully me to the point of me wanting to hide whenever she was on a warpath. I had tried all the "things": empathize with her, build a relationship, let it go. I eventually escalated it to my manager. Who told me that was just the way she was and to "get over it." It opened my eyes to the fact that I was working in a culture that left it to the victim to fix things and not the culbrit. I found a better job shortly after and another colleauge took my place as victim. All that to say, if nothing works and leadership doesn't help. Then it's time to leave.

I will seek first to build my sense of self worth. It will forge the grounding for working with the current and future difficult characters. Without that base the stresses of having to work with a difficult colleague can prove detrimental in unimaginable ways. So before anything else, I will work on myself to forge a formidable base for effectively thriving around difficult colleagues. For instance, if I were acquiesced or had any other self defeating outlook, I would fix that foremost.
