What do you do if you're unsure of your responsibilities as a new vendor manager?

First of all, there is two key things that need to happen: understanding the difference between supplier vs vendor management then, having clear vision of the main purpose of the dept. to stakeholders and to the corporate’s strategy. Both things should open path to understand which actions, kpis and goals the vendor/supplier management will have to apply in order to be strategic and deliver value on a higher level to the reputation and corporation’s brand.

You need to connect with other vendor managers or professionals in similar roles within your organization or industry. I would classify the responsibilities in to majorly Two: 1. Implied: which can be found from Contracts, SOPs, ToDo lists, Organisations Process Assets, SLAs etc. 2. Expected: which can be gained by experience, from the manager and conversation with colleagues.

We should proactively seek clarification on key aspects such as our primary responsibilities, reporting structure, key performance indicators (KPIs), and any specific projects or initiatives we're expected to lead. We should take the initiative to familiarize ourselves with relevant policies, procedures and work instructions available in the organization and also learn from the best practices available in the industry related to vendor management. As a vendor manager, we need to regularly seek feedback from our supervisor, colleagues, and other stakeholders. This feedback will help us gauge our performance, identify areas for improvement, and ensure that we're meeting expectations in our role.

Know your company/organisation Vendor profile of a company depends on the kind of business that happens in that company. Each type of business governs different standards for procurement, logistics, administrative/maintenance requirements. The type of business also governs which areas of work/vendor supplies or services are more critical for your company so as to build more effective contracts around those parameters. This also can help in the proper selection of vendors and SLAs. Further on, interactions with different departments can also help gauge their dependence on vendors more clearly which will help in creating effective control mechanisms for vendors.

As a new vendor manager, our role will be influenced by various factors such as internal stakeholders, environmental dynamics, and supply market conditions.
