What do you do if your virtual team is struggling with effective communication?

Generic complaints about 'bad communication' won't get you far. Zero in on the exact breakdowns: Are instructions unclear? Are decisions left hanging? Is conflict simmering unresolved? Specificity is the key to finding the right fix. Don't just focus on what's being said – consider what's not being communicated. Are team members hesitant to share ideas? Is important context getting lost in translation? When do miscommunications most often occur? During meetings? In written updates? Identifying these hotspots provides a roadmap to addressing the root problems. Remember, 'communication issues' manifest differently for each team member. Understanding their specific challenges is essential for a team-wide solution.

The causes might vary with every team and situation, you should start by evaluating the current communication methods and tools being used by the team. Identify any gaps or challenges in communication that may be contributing to the issue. Talk to your team members directly. Conduct surveys or hold anonymous feedback sessions to understand their specific concerns. Analyze communication patterns: ? Are there too many meetings? ? Not enough clear channels? ? Information overload or ? lack of transparency?

The trick is to streamline lines of communications. Too many times we have seen this, either a few members of the team communicate via email, or prefer realtime chat, or video-conferencing. This ends up causing a communication breakdown and some tidbits of information gets lost in the process. The best approach, is to look to the past how truckers would co-operate via CB radio. One channel, rules of communication for efficiency ("CB talk") and everyone on the same page. Simple and effective. The modern equivalent? Collaboration suites like teams, Asana, Basecamp, ect. Prediction: Emails will cease to be used in 5 years.

Communication in most cases is a symptom of issues with the operational structure . Identifying the root coils of the communication issues is key , and this can be determined by understanding the management policies and how or why there is a deviation, and combining this with surveys becomes key to figuring out the root. In most cases isolating the issues from the culprits may actually bring to surface issues like improper task description, task interaction , managing team member capacity to handle , culture and issues in the onboarding process of the virtual team. Preemptive holistic assessment will be the best string point to finding a sustainable solution to communication challenges .

An example I've seen is to firstly make sure that everyone on the team understands what is expected of them. Their roles, responsibilities and deadlines should be set early. You have to be specific and clear, It helps to avoid confusion and miscommunication and it ensures that everyone is on the same page. This way, communication becomes more efficient and effective within the team.

A simple non-written guideline to set expectations could work better within a small team. Reiterate when needed that we expect team members to communicate any questions or issues immediately to a shared channel. Why a shared channel, because the information could benefit the other people as well. Remind them also to not be afraid of asking seemingly stupid questions, because it is still better than not asking at all.

Encourage regular check-ins, utilize collaborative tools, clarify roles and responsibilities, foster trust through transparency, and address issues promptly. While numerous tools exist, selecting the right tool for your virtual team is more important. For example, at Shuru, we have been remote from Day 0. While it started as a need, our experiments bolstered the confidence to continue with our remote team. We use tools like Google Workspace, Slack, Gather, and Click Up. More importantly, we keep ourselves open to exploring new tools our customers may use for effective collaboration. These tools have become paramount for our distributed team that works with customers in different time zones. Staying remote in the post-Covid world should be a conscious choice. Unless the processes don't outweigh the benefits of physical proximity, there will be temptations to bring everyone back to the office.

More important than choosing the right tool is defining rules and regulations on how the tool should be used. In my experience, the focus is too often on using the best tool but too rarely on the underlying processes that the tool is intended to improve. It is important to think about the way you communicate and to create a conscious framework for this. Otherwise, a poor communication process will remain a poor process even with the best tool.

1- First schedule regular meetings either weekly or biweekly to make sure all the team members are on the same page. 2-It never hurts to follow up even if you assign the tasks via any project management software. 3- Always get feedback from the team members to see what best communication method suits them and how to enhance the team management process.

I have been using MS 365 + Copilot Pro and it has been a productivity increase of 30% for me. AI tools , especially LLM based can significantly ease communication, summarising chats, calls and help the team improve operational efficiency and productivity.

Based on my experience in organizing non work-related virtual chats, it does not work everywhere. Especially when your team has mostly shy people. People would join the first two chats out of respect to the manager, but afterwards nobody would join anymore as they would prefer doing their tasks than joining the chat and barely talking.

I think one of the most important things is to set a good example. Do yourself what you want your team members to do. Let them feel the value of communicating. When they understand the value, they would be more incentivized to follow our example.

Paying their attention to similarities between team members. As when they are connected on some topic or value, they build a bridge that potentially can improve their collaboration. Let them discover them on their own, or help if they are struggling.
