What do you do if your project managers struggle to effectively communicate with UX designers and developers?

If I feel my project manager struggle to effectively communicate with me, I will try as much as possible to make he/she revisit the business goals, understand what my role is, and come to an understanding of where he/she is coming from for seamless communication and understanding.

To improve communication between project managers, UX designers, and developers: 1. Foster empathy through workshops and learning sessions 2. Set up regular meetings and use collaboration tools 3. Define clear roles, responsibilities, and project goals 4. Use visual aids like wireframes and user stories 5. Provide communication training and resources 6. Promote a collaborative, respectful team culture These strategies help align everyone, improve understanding, and lead to better project outcomes.

Institute frequent design reviews and planning sessions with SMEs, PO and PM where everyone participates. Make sure everyone in the team including the designers and BAs understands the project's overall objectives and user stories so that all scope is accounted for.

Sometimes not having obvious workflow can makes communication and collaboration problems in team, so in this situation I try to define an obvious workflow that helps team members to know about their roles and responsibilities compeltely and aware them when and how they can get involved in workflow. It should be transparented for them that its better to trust each other's expertise. Also providing the situations for giving and getting feedback can help effective communication.

When defining team roles, clarity is key for effective communication and collaboration. Project managers should translate objectives into tasks for designers and developers, while designers need to communicate design rationale in terms understood by both managers and developers. Developers are responsible for technical implementation, requiring clear communication from both project managers and designers to ensure alignment with the project vision. This ensures seamless coordination and helps achieve the project's objectives.

Promote transparency in team communication. Encourage open dialogue where team members feel comfortable expressing their thoughts, concerns, and ideas. Transparency builds trust and fosters a supportive environment where everyone feels valued and heard. Utilize collaboration tools to streamline communication. Platforms like Slack, Microsoft Teams, or Trello facilitate real-time communication, file sharing, and task management, keeping everyone on the same page and minimizing misunderstandings.

People who do not understand each other should not be working with each other. Someone’s got the wrong job. If we cannot achieve things by ourself, it’s important to lend empathy to those we collaborate with.

Streamlining process is a key thing a project manager needs to do. Break down tasks into chunks and this would make it easier to track and assign to individuals in the team based on their role. There should be a regular short standup meeting where updates are given concerning assigned tasks. Also every member of the team should have access to task boards and be able to give necessary feedback on the task given. This would foster effective communication.

When project managers struggle to effectively communicate with UX designers and developers, it's essential to facilitate open dialogue and establish clear channels for collaboration. I have seen the best PMs use very simple tools like Microsoft Excel or Google sheets to clearly communicate the chunks of work, the RACI metrics, the delivery timeline, and the progress. Sometimes, PMs have this notion that designers take a long time to deliver the end deliverable, that they waste a lot of time asking questions and understanding the rationale behind a project brief. UX designers can represent the process in a simple visual to communicate the steps involved, the insights and information that is necessary to be gathered to proceed, a conclusive final requirement etc. This visual can be brought up again and again to concur where the team stands, what blockers to remove & how much more time is needed to complete the project.

One thing that I found to always work is having a team bonding session. Yes it may look unproductive, but this has a massive advantage when it comes to creating that unity and great collaboration within the team. With this you get to know each other and bond this would open up a channel of communication between team members and this would make work easier for project managers to assess and approach any of the team members.

I recommend considering joint training sessions for PMs, UX designers, and developers. Especially for newer teams, I think learning about each other's processes and challenges can create a more empathetic and collaborative work environment. By implementing these strategies, you can bridge the communication gap, improve project efficiency, and ultimately achieve better results. Remember, clear communication is essential for a successful UX project.
