What do you do if your project deadlines keep slipping away?

Plan Ahead Set Clear Goals: Define what needs to be achieved in the project. Break down the project into smaller, manageable tasks with specific, measurable objectives. Create a Detailed Timeline: Develop a comprehensive project timeline that includes all tasks, milestones, and deadlines. Use project management tools to visualize this timeline. Allocate Resources Wisely: Ensure that the right resources (people, tools, budget) are allocated to each task. Consider potential bottlenecks and allocate buffer time for critical tasks.

Always have a programme with inbuilt contingencies Make sure that you set your milestones in your project appropriately, with the forecast of delay contingencies to ensure you have some padding on your project’s delivery due dates. There will always be something that can get in the way of your progress, and a lot of these are out of control of the project manager. & on the contrary if there are no delays and you are ahead of schedule - you have impressed the client and you look very organised and efficient doing your role.

Determining the cause of slipping deadlines can be complex because no two projects are alike but I have found the root cause of most slipped deadlines is poor or a complete lack of communication. Whether its change management, information bottle necks, staffing issues etc etc. Deadlines get missed because people are not communicating effectively.

I’ve had a recent similar situation but the cause was not just us. The client’s response and requests are not provided properly and poor communication. So I believe if we have our deliverables set straight it would be best.

If project deadlines keep slipping away, reassess the project plan, identify bottlenecks, prioritize tasks, allocate resources more effectively, and improve communication among team members. Consider setting more realistic deadlines and regularly monitoring progress to stay on track.

True, prioritising the works is important. I saw someone’s speech on prioritisation of work he says “Most important but not urgent ?? , important but urgent, least important etc” I hope we can identify which is crucial and which is not along with which work needs to be sent out first.

At the beginning of each project, we create a project checklist with all of the tasks that we need complete by each project milestone such as SD, DD, 30% CD, 60% CD, and 90% CD. This is a helpful tool as it provides a "road map" to completion. It is the responsibility of the job captain to create the checklist and provide it to the team. It communicates clearly what needs to be done and when it needs to be done by. Not only does it keep your team on track, it also functions as a running to-do list to keep team members busy, and it serves as a workload forecast that can aid the job captain in staffing requirements to meet the deadlines.

First, learn the required software - Second, learn the principles of work - Third, do an internship - Fourth, work on the project as long as you can.

This always seems to be the area where projects fall apart. Most delays are caused by changes to the scope of work. With each scope change, we are responsible for determining the impact of that change to the deadlines and our fees. It falls apart when there is a lack off communication. Does your team clearly understand the scope of the changes and the work required to complete those changes? Is the client aware that these changes will require the deadline to be pushed? Is the client unwilling to move the deadline, which will require overtime to complete the project and increase fees? Have any potential additional staffing requirements been communicated to your office managers?

In my opinion, the most important factor determining the time limit in any project is the financial cost of the project, which affects all stages of the project from design to delivery. For example, there is a lot of pressure on the designer and draftsman to do the work faster and deliver it faster. Of course, all of this It requires precise timing.

In my opinion, communication is the key to resolving delays and completing tasks on time. Without effective communication, it's challenging to identify tasks and set priorities. This is particularly true when working with multidisciplinary teams. Communication allows us to apply all our project management skills and tools effectively.In today's digital world, we still rely on guidance and collaboration achieved through communication. Understanding project needs, identifying stakeholders, and establishing priorities are all tasks that cannot be effectively managed without clear communication.

Communication is crucial in keeping a project on track. Almost every missed deadline can be attributed to poor, or lack of communication.

At this point, you have identified the problem, you've created a road map to getting the project complete, you have communicated all the relevant information to your team and to your client. You've set yourself up to finish strong, now you just need to execute.

Define and establish critical path task for the project time line, maintain and hit those scheduled dates ! Remove any obstacles that affect or impede the critical path that are causing the delays! Personnel, logistics , budget, contractural, design issues, jurisdiction, etc . Once you have identified the obstacle or bottlenecks, delays issues gone or at least minimized.

Identify the root cause of the delay and communicate on time with the right parties once it is becoming apparent the progress of the work would exceed its projection. Contractually, this might not be an easy task anyway as defaulted party might face some penalties but not in every case.
