What do you do if your engineering reports lack conciseness and impact?

Identifying key messages clearly and using clear language are essential steps. Organizing information logically and focusing on relevant data streamline the report. Effective use of visual aids enhances understanding and captures attention. Always reviewing and seeking feedback before finalizing ensures the report meets quality standards.

One thing I find helpful in this predicament in managing engineers and technicians is to find the root of cause of the issue weather it be processes , supply chain or challenging engineering problems or human behavior and address before it erodes their confidence and motivation to get tasks completed.

Reports can easily become bogged down in technical jargon, making it difficult for readers to grasp the main findings. This is where images can be used strategically to change the game. Well-crafted visuals, such as diagrams, charts, or illustrations, can successfully highlight key information while also increasing the overall impact of the report. Background section can quickly bring a new reader up to speed and overview can deliver the core idea or design in a more compact way. Bonus if you can add an architecture diagram in your documents that can capture changes, but it only applies to design documents. On metrics/KPI reports, you can highlight the delta on impact by the recent works and clearly draw the line where impact was felt heavily.

Engineering is about providing solutions which will be beneficial to the people who will be using it, which requires honesty about features such as safety, health, costs, risks, etc in a detailed/conscise report. It is important that each report provided covers the important aspects which will have impact on the customers or the receivers. If the report provided lacks conciseness and impact, it is essential that you review the processes used in order to make sure that points provided are facts and will have an impact to organization and receivers. State clear objectives of the reports and what you expect to achieve when the project/task is done. Gather as much information you can and select one that you think is important and it's needed.

To do this, you need real mastery of the subject you are writing about, you need to follow a script about what is being exposed in the report. Is it a test result? Is it a Research? For each type of report there is a script, but they all have in common: Why (context), How it was done (method), what happened (result/ answer) and Conclusion!

Based on my experience, I have learned and have asked of my report developers in my career to say what they need to say in as few words as possible. Avoid using “is being” if “is” conveys the message. I have also asked to always keep the audience in mind when developing reports. I would require second and/or third (peer or expert) party reviews of the report. Finally, I committed personal time for the report review as I believe that it represents my organization and I could be easier defend it. If it had words that I would use.

Getting input from your collaborators and stakeholder partners work equally well! For example, your specific messaging experiments with Marketing can be presented better if you'll work with them to add details on how the audience segmentation and selection of target demographics worked. This will add color to why the business metrics moved and can be the start of discussion for improvements (which is one of the goals of a report)
