Determine whether the present format frequency, duration, and agenda of the meeting promote constructive cooperation and whether adjustments are required to improve efficiency and engagement. Improve meeting effectiveness by evaluating time management, decision-making processes, and facilitation strategies. Examine the communication channels utilized for cooperation outside of meetings, such as email, messaging applications, and project management software. If they assist in communicating needs and resolving problems, avoid holding unnecessary meetings.

Meeting should have an agenda outlined, with mandatory stakeholders needed and shared prior to the meeting so discussions can be done with proper background, decisions can be made with appropriate stakeholders and information can be shared with the teams that will need this information to perform their functions.

Make it a task and finish meeting, I.e., define what the end state you are trying to achieve, drive the meeting to achieve that then either dissolve this meeting or move on to the next task.
