Data never lies... The best way to convince our superior is to assess the situation, do some research, collect data and then make statements that can be supported by that data. After that, be open to perspectives/questions from the superior in case there are any, with regards to the analysis and any assumptions that have been taken into account and that need to be addressed or changed. 90% of the times, data when utilised properly, manages to set expectations right. For the remaining 10% it is better to document the expectations and obtain a sign off from the superior before starting work. This way, any obstacles encountered during the work can be taken back to the superior in order to obtain a solution or a mitigation strategy on record.

Great Leaders will show good attributes as sample practices. Arrogance will lead to unrealistic situations. The open-minded Leader will accept correction. When dealing with unrealistic situations we should come up with corrections without compromise. Doing good practice will give the Leader the option to continue the Project for better result.

You can acknowledge the requests without labeling them as unrealistic. Check to be sure you understand and are delivering on what your boss wants. Ask questions and lay out iterative plans that you feel are realistic. You might say something like, “Take a look at these scenarios, and let me know which aspects match your sense of things, and then I can build them out.” This approach can feel time-consuming, but it keeps you from straying far off base and fosters a sense of partnership that will help you develop trust for the future.

Another approach we took was to acknowledge his requests without labeling them as unrealistic. This sounded something like this, “I understand you want X. I’ve already tried to do Y and I have these concerns about Z. Can we talk about what the next steps could be?” Although the leader still comes up with grand plans, over time, he has learned to tolerate hearing more details about what’s workable and what’s problematic and often works with team members to come up with more implementable solutions.

If direct communication hasn't led to a resolution, it might be time to seek support from others within your organization. This could be a senior engineer, a human resources representative, or a union official, depending on your workplace's structure.
