What do you do if team members dominate Agile meetings?

As a project manager, if team members dominate Agile meetings, it can impede collaboration and diverse input. To address this, I would establish ground rules such as ensuring equal participation, enforcing time limits for individual contributions, and rotating the facilitator role among team members. These measures promote a balanced environment where everyone has the opportunity to contribute, fostering a more inclusive and productive meeting culture.

An example of setting ground rules or meeting etiquette/norms would be alignment on process when creating or updating a team’s Working Agreement. A working agreement should be set up with a new team where team members will be interacting and collaborating regularly. This provides a mission, focus, and process particularly during challenging discussions, decisions, or periods of change. Additionally, meeting etiquette expectations can be set at the opening of any meeting - Scrum or not. This gives a reminder as well as ground rules such as “everyone’s voice should be heard” or “we value diverse perspectives” to reference should one team member be dominating team conversations.

In Agile meetings, the Scrum Master plays a crucial role in managing dynamics and ensuring that the processes remain productive and inclusive. They are key in establishing and enforcing ground rules that promote respectful and efficient discussions. The Scrum Master focuses on ensuring that meetings stay within the expected time frames (timeboxing) and that every team member has an equal opportunity to contribute. As a project manager, I always prefer timeboxed discussions, I ensure that everyone has a fair opportunity to speak and share their perspectives. This approach helps maintain a balanced and productive meeting environment, encouraging equal participation and fostering a collaborative team culture.

Scrum treats time as one of the most important constraints in managing a project. To address the constraint of time, Scrum introduces a concept called 'Time-boxing' which proposes fixing a certain amount of time for each process and activity in a Scrum project. This ensures that Scrum Team members do not take up too much or too little work for a particular period of time and do not expend their time and energy on work for which they have little clarity. This may NOT always work as thought but you can try. I would still follow round robin ways and keep reminding everyone with my one liners "Thank you for sharing. Does anyone else have a different opinion or perspective?" and it may open the quiet doors for others.

I have always preferred timebox meeting in which every one will have specific time to interact and discuss the important points to progress the work

This is very important that you encourage quieter members to share their insights, establish norms for balanced participation, and promote a culture of respect and inclusivity. Encourage the quiet one's. I have found many gems in that way. Be the leader who talks in the end and chime in as a strong entity as needed to protect viewpoint of others who are not getting a chance to contribute. My other fav is to ask around the room "How about we take a few minutes here, write down our ideas, and then we can discuss them one by one?" Next you can ask another person in rotation to run the meeting.

As a project manager, this is very important that you should be aware of your team and this is always a better practice if situation is not getting handled, discuss the matter privately with the such team members. Personally, This approach allows me to address the issue sensitively while promoting a more inclusive and collaborative meeting environment.

If the original strategies are not working for the team, you have two choices. Be agile and change original strategie OR coach the offending team member one on one. Avoid calling out a team member in the meeting as this can dampen team communications. A high performing team is one that can talk about issues is a safe space.

Sprint Review: Team can take turns presenting the work completed during the sprint to stakeholders, developing their communication, presentation skills.

Guide discussions and invite silent members to share their thoughts. 4. Divide the team for discussions and then invite them to share insights. 5. Address the issue privately with dominating members, encouraging them to listen more. 6. Assign different roles to everyone. And rotate the roles weekly/monthly basis. 7. Seek Anonymous feedback or suggestions.

Everything said above is correct, but we also need to sit and talk openly with that team member about why he is trying to dominate it. - it can be he knows too much - It can be he is insecure - It can be other team member are introvert or he is extrovert We need to understand why he is doing that before giving any remedies to it
