What do you do if stakeholder expectations are shifting during a project change?

This includes identifying new tasks or adjustments needed to meet the updated expectations, evaluating the feasibility of these changes, and determining their potential effects on the project's overall success. Risk analysis is also crucial, as it helps identify new risks introduced by the changes and outlines strategies to mitigate them. By understanding the full extent of the impact, project managers can make informed decisions, prioritize actions, and adjust plans to ensure the project remains viable and aligned with stakeholder goals.

When working on customer projects, while always being open to any change in scope, it's equally important to question and challenge the necessity of these changes. Asking the right questions with an open mind and testing the multiple hypotheses will help all stakeholders to rethink on the whole project, including the suggested changes. This conversation will help everyone to understand if the changes are really needed and how best to accommodate them.

A majority of customers do not understand or wish to ignore the concept of scope change. From a customer's point of view, it is very important for them to add new scope as it will enhance/stabilize their work product. However as a service provider, it is important to educate them on the impact of such a change. The impact could be on timelines, cost, effort etc. Once they are made aware of this, this will retrospect and see if the change is really required. In a nutshell, Impact Analysis and communication between the two stakeholders is very essential when a change in scope is introduced into the project.

Certainly the elements of change management require excellence in execution of the fine points of stakeholder management and team engagement. From first hand experience, I have found the most critical aspect is to keep the end in mind - that the changes made will be adopted, sustained, and evolved. As this question suggests the shifts exist among the leadership cadre who will own the change, I submit the following. Responding requires a reassessment of stakeholder readiness which includes an analysis of persistence and commitment to the goal, any anticipated changes in stakeholder composition, and the dynamics of context before any adjustments are made.
