What do you do if you need to assemble a video production team?

To ensure success, establishing the project scope is paramount in assembling a production team. Aligning all parties at the beginning to define the objectives, target audience, style, and duration is non-negotiable. By focusing on the scope, you set the foundation for efficient resource allocation and talent acquisition. A thorough understanding of the project's complexity, timeline, and budget is imperative. Neglecting to prioritize this critical step can lead to costly delays, misalignments, and more money spent down the road. Once I know them, their character, their skills and their equipment, I will have an idea as to whether they are a good fit for the project. Beyond that, I always have a personal chat with them to see if they are at all interested in the project. Whether it suits their goals or not. Whether they think they can contribute. Whether their schedule allows for it. I also discuss their rate and the budget with them. If it all works, then we sign a deal memo and move forward.

Considering your position in the crew first. Mostly forming a crew is headache due to your position. If you are the main creators, i.e. DP, Director of any department, you will have your own choice to form your team with the one that fits your needs. Mostly I will consider whether the production crew are familiar with the form of creative that I am aiming for, or what outcome I will consider as a complete artform or storytelling. Bear in mind that all fails are from the director's credit as they choose the wrong one, or they just cannot utilized the abilities what your crew could brought you. Communication is the key to manage different people to follow your guide.

When putting together a production team, it’s of upmost importance to make sure all team members have a clear understanding of the creative and the ultimate goal of the project stakeholders. It is also key there is a clear understanding of the role each person will play and if there is any crossover in tasks or untraditional tasks that a person might be asked to do. In 2024 production, it is not at all uncommon to have a director who might also do some editing, a producer who acts as a project manager, etc.

If you are new in the industry and utilising sites and services to find talent then it is key to make sure you keep track of who you work with and write down notes on skillsets, location, day rates and any information for your own personal contact sheet. This will be key to making finding talent easier as you progress in industry. Talent that you make connections with will also know of others in industry they have worked well with in the past. Finding talent can be challenging but one of the biggest ways you can find reliable and hard working talent is through word of mouth in industry. Asking talent you have previously worked with if they have any recommendations can sometimes lead to finding great talent.

This involves outlining your concept, creating storyboards or scripts, and having a clear picture of what you want to achieve. The more precise your vision, the easier it will be to communicate with potential collaborators. Be prepared for the unexpected. In the video production industry, things move fast and we have to be reactive and solve problems effectively when they appear. Sometimes talent can let you down, however having back up contacts or a backup talent list you can contact will improve your ability to find solutions fast.
