What communication tools can you use to keep your team motivated during event planning?

As a marketing and events leader, there are a few tools that are absolutely CRITICAL to have in my back pocket and facilitate improved communication within and even beyond your event planning or event marketing team. Those tools include: Splash, Asana, Slack (text and video), G-suite products like Google Docs, and Guru primarily. Our company is not an email heavy organization, and it's important to understand the cultural and communication norms of your company.

In my experience as the president of the African student union, I utilize couple of platforms to create meetings, work on projects and convey vital information. I believe that the volume of the work that needs to be done determines what platform that best suited for it. I have had very important projects that needs everyone as a team to bring ideas and insights. In cases like this a quick zoom meeting works best. In other cases where I need to pass quick short information I utilize a form of social media. If I have to pass a very formal information down to my team mates I utilize emails.

This is a super important topic... Communication being the base of organization. I'll personally go for the easiest. Trying to go for the latest, top-notch software filled with functionalities may create a mess and ends up being counterproductive. I personally think that using the tools that we use in everyday life may be the best option... (not the personal one, obviously). When you think about it, we all carry too many apps already. WhatsApp (communities) or Gchat may be a good option as it's super simple to use... IMHO KISS (Keep it Simple Stupid) is the way to go to keep it efficient. ??

Choosing the right platform is a very important aspect of the great communication modules. If the choice of platform are not right we may see inconsistency and not having the right result

Whether it's a familiar platform or something new, consider this checklist: 1) Opt for a platform that adds value without adding to the workload. 2) Keep it brief and straightforward; less is often more. 3) Create room for interaction and feedback instead of a one-way street 4) If introducing new tools, make sure everyone is trained.

While setting expectations to the listener or audience one should think about the topic they are presenting, know and understand the depth of it so it would not create any diffusion of understanding.

Setting clear expectations is a must! It is crucial to ensure everyone is on the same page and working towards a common goal. By communicating goals, responsibilities, and timelines, teams can increase productivity, minimize misunderstandings, and achieve desired outcomes effectively.

My suggestion is to never do this alone but in collaboration. If you act as PM, get your stakeholders' perspective to form your vision and set realistic goals. Also, plan aside the time in the process to revise and adjust if needed.

Set clear expectations and motivate with benefits. Groom your team: tell them about being part of a substantial end product. Provide high quality craft service, send a PA to bring them coffee or juice on a daily. (Whatever you desire)

I think each one of us only can become better by constantly improvising and becoming better at what we do by giving feedback and taking feedback.

I've found that differentiated feedback is the most useful type. It's unique and specifically tailored to the person, so it feels more like valuable conversation rather than a critique. People are most inclined to take advice when they know they're seen and understood.

Collaborative thinking not only solves critical problems but also enhances the bond of together ness and enhance the thinking and problem solving ability of the teams or members working within the teams.

Collaboration and creativity is the right tool, giving everyone the team spirit and act of togetherness, no one is boss or talking the ideas of others down everyone in the same page and for the success of the course.

I have found that collaboration encourages your team to join in and share in the success of the outcome. Catering and event planning are meant to be creative arenas so inviting your team to contribute their ideas engages them in a very fulfilling way. No one wants to feel like a cog in the works and no one person can think of everything, so it is a win-win for the team and the business as a whole. It is a case where the sun of the parts is more than the whole.

Addressing challenges and conflicts is essential for maintaining a productive and harmonious team. By openly acknowledging and addressing these issues, teams can find effective solutions, foster better communication, and ultimately achieve their goals.

Challenges are part of the learning curve so approach them with curiosity and an open mind while seeking the best solution. Presuming you are a PM, it is important to create space for honest but professional dialogue leaving the personal agenda behind.

Ya que no solo lidiamos con situaciones que pueden presentarse durante el desarrollo de un evento, inherentes al quehacer de una producción, si no que también estamos lidiando con "formas de ser y hacer", a?andiéndole a esto el ego de proveedores, colaboradores, clientes y el propio. Practicar la escucha asertiva y la empatía es esencial, como también lo es el nivel de influencia que tengamos sobre el equipo, en resumen, desarrollar nuestro liderazgo nos dota de todas las técnicas para abordar desafíos y situaciones complicadas, tanto en el área técnica como en la gestión humana.

Celebrating achievements and successes is vital for boosting team morale and fostering a positive work environment. Recognizing and appreciating the accomplishments of individuals and the team as a whole enhances motivation and engagement, leading to continued success and even greater achievements in the future!!

No need for medals but recognition is primary. An afterword on how things went. Thanking them after a well run show is key.

Es fundamental generar una serie de encuentros con cierta regularidad e incluso encuentros de "emergencia" que mantengan a todas las partes del equipo unidas y al tanto de los acontecimientos. Es una manera de alcanzar una dirección conjunta a través de una comunicación concisa que fomente la construcción del proyecto y se adelante a eventualidades. En la mayoría de las ocasiones, es incluso vital que el mismo cliente esté presente en dichas reuniones, pues él sabe lo que quiere y, si alberga dudas, tanto equipo como cliente, trabajan juntos en aras de obtener el mejor resultado. As an event producer myself. I use multiple platforms to keep my team engaged and my communication keeps them motivated. I find that not one platform fits all of the teams needs. Slack, Discord for larger team communications work fine.. Skype, Yes it still is a great platform for communication, quick file sharing, face to face meeting and daily conversations. All google apps keep my teams organized and synced on the cloud.
