What are the challenges of using RPA for unstructured data processing?

In my experience, I have always loved working with Unstructured Data because it was very challenging and interesting at the same time. Applying Regex, building patters was my favourite part. However, there are few challenges which might occur for RPA to handle . The most frequently encountered one is Lack of Standardization of Data.It can come in various formats such as emails, images, PDFs, or text documents. The absence of a standardized format makes it difficult for traditional RPA bots, which thrive on structure, to interpret and process the information accurately.

UiPath's Document Understanding is indeed a solution designed to address challenges associated with unstructured data in the context of RPA. It utilizes advanced techniques like machine learning and OCR (Optical Character Recognition) to extract and validate information from various document types. I’ve seen how challenging it is for normal RPA to handle unstructured data, like emails or scanned documents. 1. OCR can read a scanned invoice and turn it into readable text. 2. NLP helps the bot understand text. When scanning an email, it can pick out the sender, subject, and body. 3. ML can recognize diff invoice formats and accurately pull out details like the invoice number and due date. Imagine you receive hundreds of invoices daily. An RPA bot equipped with AI based OCR can read the scanned invoices, NLP can understand and categorize the text, and ML can ensure the information extracted is accurate, even as invoice formats change. This automated process saves time, reduces errors, and allows staff to focus on more complex tasks.

Not sure the solution or correct term is actually tied to RPA at all. Sure, RPA vendors have cleverly and interestingly evolved some of the technology that this space needs and should be included in your evaluation. BUT you should look wider at OCR, AI (Gen AI, NLP) and Machine Learning vendors as many strong technologies are turning unstructured data into something very very consumable by RPA, lowcode, nocode, coding etc,. These are exciting times for unstructured data but also be aware, unless you know what's IN the data, don't even dare to send it to anywhere in the "public" domain. Also, think "responsible AI" too, lest your org gets caught up in being sued for bias etc., cause you interpret it wrong (or illegally).

Ahh, data validation. My favourite bit when it comes to working with RPA and data. Because structured or not, many people like to skip this part and just get moving. But I feel it's the single most important step in all Automation efforts. Because no matter where you move your data, you want it to be sound. So, go ahead and create those validation rules. An RPA tool itself will most probably not be able to do NLP (and honestly, I don't think it's the RPA tool's job) or any fancy recognition technique. But being sure that something at least plausibly _looks like it could be a name_ or generally matches the structure of your customer ID is worth it's weight in gold imo. Validated data is better data!

Data extraction is always a tricky process but validating unstructured data is a real challenge. There are some ways UiPath tried to integrate the human in this process and make the bots learn from this "knowledge exchange" but this still remains an unsolved issue for the other platforms and a challenge for UiPath. From my experience in the last few years, the best way to deal with this issue is to build failsafe to the first failsafe and also make sure you train the customer and humans that will be involved in the process really well.

Data integration is something I feel many people overengineer. My personal opinion (and that's independent of my current carreer): try to generalise your bot output as much as possible and let real integration tools pick it up from there! They were built to send the data where it needs to go. Worst case, you're re-building something that's already there. The only exception I'll make to this is creating Excel or CSV files - which I have a whole different opinion on, but they're just a reality we have to live with.

Again, this is where I might be abit outside the popular opinion, but: far as I'm concerned, data security should of course be present in the RPA tool - wihin the boundaries of it's communication model. If you've got a central platform that everything reports to, secure the traffic; if you're sending data to that platform for processing/storing, secure the storage. But that's about it. Design your RPA tool (or at least your process) in a way that it's only necessary in as minimalistic a way as possible. Data should stay local throughout being processed and any required security should be handled by the system administrators responsible for the machines.

Also if additional enablers like OCR etc are required then cost of bot/program also increases.

Any unstructured data needs to be converted into a meaningful business process that is main aim of having all the technologies like OCR, RPA.
