What are the biggest challenges of managing events for a non-profit organization?

In my experience, it's important to find business owners who are aligned with your mission to sponsor your event. Something that pulls at their heartstrings. For instance, if you are a social justice NPO then finding a sponsor from the cannabis space can be a good idea as cannabis companies are committed to helping social justice causes.

As much as you can, try to create a budge for your event before seeking sponsorships. I find that organizations often put the cart before the horse here. Before gathering sponsorships and saying, "I have to create an event within this budget," I would encourage you to create the budget first. This way, you can approach sponsors with a greater sense of your fundraising needs. Prospective sponsors feel great when you can say to them, "You're $XX,000 gift will cover all of our catering needs for this event!"

To me, it doesn't seem like a challenge to find sponsors for your event. You should already have established relationships with people who are interested in sponsoring it. If that's not the case, then it's time to start building those relationships. That way, when you finally make the ask, the response will be: "What took you so long?"

A strategic solution to enhance sponsor acquisition involves diversifying your approach. Leverage social media and digital platforms to amplify your organization's visibility, making it more appealing to potential sponsors. Tailor your proposals to highlight the specific benefits sponsors would gain, aligning their contributions with their brand goals. Additionally, cultivate existing relationships within your network; often, personal connections can open doors. Lastly, consider creating tiered sponsorship packages, providing options for various budget levels, and showcasing the value each tier brings to sponsors, fostering a sense of inclusivity and flexibility.

From my experience resources has been one of my biggest challenge in managing events for some NGOs, this isn't to say that financing is the sole contributor, but there is limited manpower to delegate certain aspects like data gathering and sharing before the start of event, volunteers especially for larger conferences. While I have a large enough team, it can be quite overwhelming dealing with limited resources and having to stretch ourselves thin.

I have co-organized two non-profit educational conferences with over 100 participants and multiple smaller events with about 50 people. You need volunteers. How to attract them? - Reach out personally. If you know specific people whose skills would majorly help in the event organizing, ask them for a short meeting. Tell them why this event would be a great opportunity for them to learn and grow, how much of an impact their work would have to the success for the event. - If they don’t have the time or capacity for committing fully to the role, ask for their opinion or expertise. Ask how much they can get involved, if they could be consultants, or if they can help just during the event day(s). Once agreed, make sure to train them, too.

Do not overlook even the tiniest opportunities to thank your volunteers post-event! You don't always have to go above and beyond. Let's face it: most organizations don't have the budgets to send thank you gifts or flowers to every volunteer. That being said, don't let that barrier deter you from sending a simple "thank you" text, for example. You never know the impact that recognition will have, even if it feels insignificant to you.

Event planning requires defining clear outcomes from the very beginning so that you can determine if the event was successful or not. However, the real work happens after the event. It is crucial to follow up with attendees, cultivate relationships, and gather data. This is the best time to make connections and learn from the feedback received. Once you have all the data, you should provide a report to the stakeholders and use it as a guide to plan the next event.

This is very important, not only to understand what return you're getting on your event but also in a legal way. It's a fiduciary responsibility to have a reasonable return on the money you spend, which will be reported in Form 990 to the IRS. I always like to spend 10% of what I assume I'll bring in donation-wise. If I think I can raise $10,000 then I'll spend $1,000 on the event.

Getting feedback as soon as the event is finished is crucial. Plan in advance to have a feedback form, with quantifiable questions about different aspects such as program content, venue, logistics, catering, punctuality, value perceived and overall free feedback. Then you can analyze those data, to have a measurable rate of success and feedback to help you improve upcoming events of similar scope.

On measuring impact, adding to the very helpful previous comment on this subject, having evaluation questions prepared (thoughtfully) in advance is crucial. While collecting quantitative data is most efficient, adding opportunities for open text comments can be invaluable. (Mixed methodology.) it takes more work to sift through these types of responses but it is possible to look for themes and organize that feedback.

In my experience organization events for non-profit comes with its own set of challenges that event planners must navigate. Moreover, importance of targeting adequate donors is crucial. Additionally, coordinating and securing volunteers can pose a considerable challenge. Despite these challenges, the spirit of altruism and the potential to make a positive impact make this a rewarding undertaking.

As the Events Director within my organization, I specialize in event planning and do not handle tasks such as fundraising or marketing. I rely on my teams to handle these aspects of the event. I understand that not all nonprofits have the same resources as mine, so if that's the case for you, I highly recommend partnering with donors or volunteers to make your event a reality.

Les prestataires, quand ils sont très professionnels, sont les meilleures apporteurs de solutions, même si leurs idées ne sont pas conformes à nos approches initiales. In addition to everything stated here, don't forget that it's ok to ask for help and/or delegate in the areas where you know your skillset might not be the strongest. No one person is AMAZING at everything!

Assister à d'autres événements permet de rester en veille. Même si c'est le secteur de la communication le moins créatif...les salons, les conférences, les remises de prix sont des évènements codés qui déroulent depuis des années des mécaniques assez identiques et conformistes... C'est donc par une volonté audacieuse et personnelle que l'on peut sortir du lot. Cela demande plus d'investissement personnel...car acheter une prestation en rayon ne dépend que du budget...alors qu'imaginer un évènement sur un angle plus créatif demande plus d'imagination.

One thing I like to focus on is how I can get longterm monthly donors. Sure a $1000 donation is incredible, but if I can get someone to donate $50 a month for 10 years, then we're looking at 6k! When you're developing the concept, ask yourself how you can create a lifetime donor. And don't ask for a big donation, ask for a small one that repeats every month.

Think of creative, alternative ways that you can raise funds and attract attention to your event, months before the actual date. Go to other similar events and see if there are spots to self-promote while networking or during a Q&A. Not only you, but everyone on the event team. Non-profit organizations traditionally do not have as much budget to play with as private organizations. You need to do just as much, or more, with less funds at your disposal. Creativity and ingenuity are key to accomplish this, along with finding a solid roster of sponsors.

Humaniser son événement est rarement pris en compte. I think one of the taken for granted key aspects is time-management. I have organised multiple events over the years and keeping up with the objectives you have in the time you set out is always, inevitably, a make or break to the success of your event. This, of course, is closely linked to the measurable goals you set out at the beginning, the team you build for yourself and the kind of funds you have at your disposal, but it also has to do with your leadership and communication styles. Having contingency plans also helps; you can't predict everything, but there are things you can think of ahead of time like what to do when a keynote speaker backs out at the last minute or when a vendor cannot deliver.
