What are the best ways to use technology to improve collaboration?

I feel that using technology during the initial stage of a project requiring collaboration would be limited. I feel a face to face meeting is best. Expectations can be clarified; timelines and deadlines developed etc., and once the initial stages have been developed I would consider moving to weekly or bi-weekly face to face meetings using MS Meetings or Zoom.

For collaborative processes involving iterative rounds of calculation and review, custom-built technology platforms coupled with 3rd party applications (JIRA, Confluence, GitHub) provide efficiency and transparency. It's important to clearly define and agree on the scope of custom-built platforms to ensure they work well together and avoid competiton for scarce funding resources.

Technology can significantly enhance collaboration in various ways. Here are some effective ways to leverage technology for collaboration: 1. **Communication Platforms:** Use instant messaging, video conferencing, and collaboration tools like Slack, Microsoft Teams, or Zoom for real-time communication. These platforms facilitate quick information exchange and virtual meetings. 2:Collaborative Coding Platforms:For software development teams, platforms like GitHub or GitLab facilitate collaborative coding, version control, and efficient code review processes. 3. **Social Intranet Platforms:** Implement internal social networks or intranet platforms to encourage communication, information sharing, and collaboration within the organization.

In my current assignment, Risk management is a centralized function, driving RM across the program’s projects. The focal point in identifying risks, are the facilitated risk workshops targeting specific project deliverables and involving only relevant stakeholders. There is a mandatory on site attendance to foster face to face communication, if possible, otherwise limited Teams attendance. Besides that, powerpoint-based workshop introduction slides by Project manager and risk manager. No tools used during the facilitated risk discussions, paper notes taken by facilitator is sufficient. Again a means of supporting face to face, avoiding “tech noise”.

Communication Platforms such as Microsoft Teams are very useful. Document Sharing and Editing Technology such as Microsoft 365 and Google Workspace can expedite projects. File Sharing and Storage such as Dropbox, and OneDrive help collaboration. Shared Calendars – One can utilize shared calendars such as Microsoft Outlook and Google Calendar to help coordinate activities between coworkers. Learning Management Systems (LMS) – This tool has afforded my colleagues and our students the chance to efficiently engage in training and professional development. Feedback and Survey - Regular feedback improves communication and collaboration. There are many popular tools like Google Forms and SurveyMonkey in the technology market.

Clear expectations set the stage for effective communication: Shared understanding: Knowing roles, goals, and deadlines eliminates confusion and misinterpretations. Focused conversations: Specific deliverables guide discussions and keep everyone on track. Open feedback: Defined evaluation mechanisms encourage constructive feedback and course correction.

In today's rapidly evolving world, technology does play an important role in every aspect of life and is essential in the corporate world as well. It does add convenience to our work helping in various areas like research, documentation, automation, communication, etc. but it has certain limitations as well. Hence, it is very important to define the objectives, process, expectations, contingency plan and roles for users/ stakeholders, which will help in smooth execution of work and in achieving the desired results.

One thing I have found useful to define roles and communicate responsibilities clearly to all stakeholders. Also define milestones agreed by all the users to measure the achievement become easy.

Clearly define project goals and objectives before implementing technology. Select collaboration tools that align with team needs and workflows. Provide comprehensive training to ensure team members are proficient in tool usage. Establish communication protocols and expectations for response times. Regularly assess and adapt technology solutions to meet evolving collaboration needs.

Before setting expectations, one needs to understand if the person/organization with whom the expectations are to be set has required skills to understand and perform tasks, demonstrates fair play, reliable, communicates frequently, uses common platform and technology to reach goal(s) and more. Collaboration can only be successful by setting clear expectations between the parties; through MoU, project charter, conflict and escalation mechanism. Common dashboard showing status, progress, impediments, risks, mitigation, critical path, etc. discussions need to be tracked on a set frequency with stakeholders. Technologies like audio & video meetings (offline or online), chat rooms, project scheduling and documentation tools, etc can be used.

To my surprise, yesterday I received a SMS from VAAHAN (flagship e-Governance application under Indian National Transport project) suggesting my vehicle's PUC (Pollution Under Control) certificate is expiring on 25Dec (a week prior notice), and to get my vehicle examined and to get it renewed to avoid penalty. My nextstep is; as my vehicle is also due for a servicing. I will get it serviced before renewing it's PUC certificate. This is a perfect example of leveraging on data and feedback. Similarly, in project management, a data like an epic or feature missing deadline should be analyzed by Scrum team. Discuss or get feedback on it from other stakeholders for next appropriate action.

In a Today world of volatility, “guessing” the risks on your project or business based only on intuition or experience is a high RED risk on a decision maker. BI technologies, enhanced with AI, combined with a excellent quality of data could give the North Star to navigate to the success. BI is here for all, AI as well, so an excellent quality of data could make a difference.

Mobile collaboration apps enable on-the-go communication, and virtual workspaces like Miro enhance visual collaboration. Training platforms ensure continuous skill development, creating a dynamic and efficient collaborative environment.

I would spin it the other way. Sit down with the people that are not collaborating, talk about the challenges, then start collecting ideas on the best way to improve the challenges and collaborate together. Then look to see if there is technology that can solve some of the challenges and work together on Innovation and testing hypothesis and experimenting. At that stage you have already improved collaboration.

Technology provides amazing opportunities and is invaluable to risk management and business in general nowadays. The point to bear in mind particularly on collaboration is that face to face engagements with stakeholders (or web calls) should be in the focus. Any collaboration technology requires additional personal engagement to make it happen.
