What are the best ways to use spreadsheets for data analysis?

I have learned not to put too much data in one sheet in a work book. Separate different categories of data into different sheets.

Use spreadsheets for analyzing data suggesting to use columns and each column has a specific name for that particular query. Add dates to each row. Then create pivot tables to analyze the data.

To avoid multiple inputs, input data once only by using formulas to duplicate in other sheets/platforms. Keep formulas clean & lock formats so fields are purpose specific and simplified for instant filtering or pivot analysis. I aim to keep ALL input data into one hidden worksheet and use formulas to share the information in more accessible formats for ‘less intimidating’ 3rd part access. Keep spreadsheets current by keeping a hidden ‘open text’ area or column to note changes in service needs to use ‘on the fly’. Book yourself regular time to ensure your noted changes and required updates are integrated consistently. Keep training and networking with other users, as with every MS update spreadsheets offer new solutions and ideas.

I like to go through the who, what, when, where and why, the information is being presented. For me, that’s the best way to decide what kind of spreadsheet is needed. How much detail is necessary and do we need equations?

It is perhaps better to start afresh than to follow a template. The reason being while templates give you a head start, they will eventually be updated as per your needs.

You can create combo charts to display multiple data series with different scales on a single chart, helping you show relationships that might not be obvious with separate charts.

One lesser-known calculation feature in Google Sheets is the ability to use the "QUERY" function. The QUERY function allows you to retrieve, filter, and manipulate data from a dataset.

Be intentional about the specific purpose for the spreadsheet. What are the key performance indicators? How can we graphically show that? What does and does not need to be included. If you find yourself adding more and more layers to one spreadsheet, it might be best to split it off and start another intentional and specific spreadsheet so that the purpose doesn’t get buried.

The user must make sure that the integrity of the data is unquestionable. That means before putting your data on the spreadsheet for analysis, make sure of the following: - Up-to-date. - Manageable and not ambiguous. - correct - usable - useful.

Automate your data where you can, to avoid human error. I accomplish this by using strategic filters and formulas to extract the data I need. BI platforms/softwares are great for this function too.

Remember to use your TABS. They help you to organize your spreadsheets effectively and potentially keep your content for an entire project in one sheet. Organization is key to any spreadsheet - think it out, plan it out!
