From my experience, managing transportation logistics for multi-venue events requires multiple crews and multiple trucks to cover event requirements. Segmenting geographical areas is a must with one Project Manager per area. Customer billing per area with a Summary of Charges as a master, has worked well for me. In my experience it always depend on the need for transportation e.g. are we moving a stage ? Or just few musical instruments? Or people to set up or perform ??? The answer to the above than informs what we can handle and what we need external resources for e.g. hiring movers to move the items! Also when hiring stuff for events the services provide will carry the burden yo deliver and fetch whatever is being rented. We will have one or two logistic managers who will have a schedule of everything needed and where it is needed at what time and who is responsible for delivering, setting up, and collecting. These managers stay in touch and constant contact with the service providers and our internal support team.

One thing i've found helpful is that there is a dedicated person/agency to manage this for you. You as the Program coordinator wouldn't be able to manage it all. Entrust this activity to someone else. Make sure you have a tight schedule in place with some room for delays/traffic situations. Keep contact details of everyone handy to manage last minute concerns. There needs to be enough reminders on the location, parking situation, entry/exit plans etc shared in advance with the attendees to avoid any delays.

In South Africa what makes perfect sense is ride sharing if the number of people is less than 10 if more than you can look at either hiring a min bus or an actual bus to take your team. We don't have much of options like in other countries where there are subways etc. Yes Uber can be an option but that will depend on the area as there are many issues with Uber in SA. But the best option we often use is hiring a or few min busses that we ferry our people two and from the main location while those who can drive themselves will take that option and can at times share their cars with others and get fuel compensation per kilometer driven. But this will most depend on what available in the location of need.

Over the years I have found that having every vehicle driver's contact number is very crucial also save the numbers based on the vehicle allocated number e.g. if we hired tree min busses so will have V1 -V3 and each with have the Driver's details. Often we will have a meeting a day before with the Driver's to go through the schedule and what expected of them and finding out what will be their needs to eliminate situations where a driver disappears and say s/he was going for lunch somewhere. We have not had very challenging situations with our driver's they have always been on schedule, punctual and respectful to us. It possibly because we have had a long relationship with the owner of the transportation company.

This is the most important part which requires that whatever is being communicated must be simplified so that all understands. Given our limited transportation options in South Africa makes it easier because whether it a bus or minbus we number, color code them etc and the attendees will have tags with a corresponding color code for the transportation making it easy that even if ones rides a wrong bus at least the driver will know where to take the person. The likes of whatsapp/smses seem to be better and effective in communicating unexpected changes quickly and efficiently. Sometimes people don't have access to emails at that point of the change taking place. Creating an app can be a plus as well, we just haven't done so.

This is definitely a must do so that one can identify loopholes and where improvements are required. We had an incident where someone lost their phone in one of the minbus and fortunately got it back through the driver before the matter had reached us. How we got to hear of it was through a survey after wards post the event where the attendee was being grateful to the driver for the service and kindness. Building a long lasting relationship with the service provider also helps a lots as addressing whatever that needs aggressive post the job becomes easier. They rely on you to give opportunities and you rely on them to give the best service. Also Sharing the findings of the survey with them is crucial for their improvement.
