When participants feel that the content is relevant to their roles and challenges, they are more likely to engage with the material.

When discussing with the workshop organisers "why" a workshop is organised, it is important to hear 1) How much space for "seniority" and "authority" shall be given or to "inclusivity" and/or "diversity" 2) What political agendas inside the group are causing conflict or tension, and to what extent these shall be addressed during the workshop? 3) In the agenda design, one can always give the workshop participants some space to feel they are seen, heard, and understood. For example, one can get input from the participants on what they want to work on and what they find essential (either at the beginning of the workshop - when it is unclear who will participate - or in the planning phase - when you know who will be there in advance).

The people who pay for the external facilitator and set the session's goals should fully support the facilitator's approach. This means most often at least 1) an email detailing what the organisers want to achieve, with how many people and in what timeframe and information on the venue. 2) A face-to-face meeting where the facilitator walks the organisers through a workshop design, including which questions will be asked and why and how. Expectations on "harvesting" the workshop outcomes, processing the results, and feedback about implementation to the workshop participants (who does what and what is/is not included in the facilitation assignment).

Set SMART (Specific, Measurable, Achievable, Relevant, Time-bound) goals for the workshop. For example, if aiming to improve communication, specify desired outcomes such as increasing team collaboration on projects.

One way to encourage more active participation throughout the workshop is to begin with a low-barrier-to-participation question that everyone answers. The sooner people participate (in any capacity), the more likely they are to continue that participation when you get into the meat of the workshop.

I will give one example of a method to increase engagement from my own practice: audience consisted of senior leaders of the nursing and doctor professions. 1) an ice breaker in which a mixed group of nurses & doctors had to make drawings of a doctor or a nurse based on the prejudices they had 2) make a drawing of a doctor & a nurse where they highlight common competencies We later went on to formulate core competencies across professions. (See also my facilitation portfolio - context: this work happened in Sweden, a country known for flat hierarchy and interprofessional teamwork in healthcare). The power of the method is in contrasting—highlighting differences - followed by bridging—looking for common ground! Creativity & discussion!

When leading a group of any makeup or size, it is critical to put them in the driver's seat of their own learning. As a facilitator, your job is to provide content and context, but it's up to the participants to engage at their level, applying their own knowledge and experiences. With that, no one learner is the same. Some prefer audio/visual cues (like me). Some need to have some quiet concentration time. Some need to talk it out. Some need to stand up and move every once in a while. It's a lot to balance, certainly; but you'll find better results and greater learning when you meet everyone's learning needs as best as possible. At least try!

My tips: 1) Mind the space you facilitate your workshop in. Is the room supportive of interaction? "theater" lay out of chairs and no tables versus round tables scattered across the room. Each lay-out requires a different approach. Can participants stand up easily and walk around, or is the area too tight? 2) Mind the politics: Is "seniority," "experience," or "position" inside the organisation or during the workshop a factor that needs to be dealt with? All of the above are great ways to silence the less authoritative voices. The free and open methods library of Sessionlab is a "go-to" resource for me as a facilitator. It inspires me to take new and different approaches to workshops.

Learners have their own unique learning styles and if you have an engaging extempore style it usually does the trick to keep the audience engaged rather than reading through slides. Story telling, case studies and listening activities can be more impactful to hit home the objectives of the session and have a lasting impact.

Leveraging the use of small group breakouts encourages great collaboration. Learners feel less intimidated to share and provides an alternative outlet to learn. Also, create activities that ensure each member of the small group has a role to play to ensure equal participation.

The number one aspect that has been demonstrated to be effective is 'psychological safety'. Letting people know that they can share without worrying about putting themselves in an uncomfortable position, or facing repercussions. Start out with stating the expectations that everyone will treat each other with respect. Use words such as 'there is no wrong answer'. Help them understand that even if their ideas are not used directly, they may inspire ideas from others. Celebrate when people ask difficult questions, or come up with something unique. I also find that drinking a cup of tea sets the mood to be more friendly, and less formal. A funny mug helps.

Encourage and motivate team members by delving into the topic of discussion enthusiastically and in a light hearted manner. This helps members to feel at ease and they usually open up with their thoughts. Highlight someone who has put forward a good idea and support them to speak out before the audience. Be there for them to provide the required moral support as everyone does not have the courage to speak to an audience.

Introduce team-building exercises that require cooperation, such as problem-solving challenges or group brainstorming sessions. Recognize and celebrate successful collaborations to reinforce positive behaviors. For instance, in a product development workshop, designate team members as different stakeholders, enhancing collaborative skills.

Encourage collaboration as this would enable all parties to be adequately involved to ensure productivity and to facilitate adequate decision making process that connotes with the work system thereby aligning with the organization's goals and objectives.

Leveraging short gamification is a great way to provide recognition and intervals as progress is being made and also at the end of learning overall. The key is to provide ongoing feedback throughout to re-enforce learning and ensure a positive environment where learnings stay engaged.

Implement a peer-feedback system where participants can acknowledge each other's contributions. Additionally, publicly recognize individuals who demonstrate exceptional engagement or creativity during the workshop. For instance - In a customer service team, acknowledge effective communication skills or problem-solving approaches to reinforce positive behavior. or for sales strategy workshop, recognize top performers publicly, spotlighting successful strategies.

Send post-workshop surveys to gather feedback on participants experiences and assess the workshop's impact on team dynamics. Use this information to refine future workshops and address any unresolved issues.

Accountability and support after anything new we are learning is a huge and very critical element of workshops and trainings. Too often participants have a peak experience during the training but then return back to their day-to-day and actually suffer even more than they did before because they now are aware of how much better things can be, but don't have the tools and accountability for how to take what they learned and really apply it. So for me it is absolutely key to develop an accountability process with my clients whereby they understand that the biggest work from the training is in setting up the structure, reflection-time, and support needed to transfer their skills into their day-to-day after the workshop is complete.

1. Clearly communicate the purpose and objectives of the workshop in advance. 2. Ensure that all team members understand the relevance and importance of their participation. 3. Provide opportunities for team members to contribute their ideas and opinions during the workshop. 4. Create a safe and inclusive environment where everyone feels comfortable sharing their thoughts. 5. Implement a post-evaluation program to gather feedback from team members on the workshop experience.

"Collaboration" looks different for everyone! Just because someone isn't actively speaking up, raising their hand, or asking questions doesn't mean they're not engaged with the content! As everyone processes information differently, my biggest recommendation is to gather as much information as possible about the group/company beforehand: Does anyone need reasonable accommodations? Have they gone through a similar workshop in the past? What do they value in a workshop? Why is the company engaging with this educational session? Are there any goals or expectations for the employees who join/don't join? These answers will give you the information you need to assess your facilitation approach!

Gamify Learning Experiences: Infuse elements of gamification into workshops. Introduce challenges, quizzes, or interactive simulations related to workshop content, fostering healthy competition and heightened engagement. Personalized Action Plans: Have participants create individualized action plans based on workshop takeaways. This encourages self-reflection and application of newly acquired skills, fostering a sense of ownership in the learning process. Cultivate a Learning Culture: Encourage team members to share insights from workshops in casual settings, like virtual coffee chats. This informal knowledge exchange promotes continuous learning and application of workshop concepts.

Make it personal- something that will help them become more self aware - of a block within themselves that they can break and increase self confidence
