1 Know your purpose

Before you design and deliver any facilitation session, you need to have a clear and specific purpose. What are the goals and outcomes of the session? What are the expectations and needs of the participants? What are the challenges and opportunities of the context? Having a purpose will help you plan and prepare your content, methods, and tools in a relevant and meaningful way. It will also help you communicate your value and intention to the group, and show them that you have done your homework.

There are two types of purpose, one is that of your own and the other is that of the organisation / business or subject that you are doing the facilitation to or for. Sometimes a good business will have already combined their purpose into their outcomes. Do your research and before accepting a facilitation ensure that all of the organisations / business purpose etc., aligns with your belief system. An excellent facilitator knows how to combine the two because if the purpose does not meet that of the audience then you have provided a false narrative for or to people and the organisation/ business will suffer in the long term.

2 Know your audience

Another key factor for building credibility is to know your audience. Who are they? What are their backgrounds, interests, and perspectives? What are their motivations and concerns? How do they learn and interact best? Knowing your audience will help you tailor your facilitation style and approach to suit their preferences and needs. It will also help you build rapport and empathy with them, and show them that you care and respect them.

Knowing your audience is key as often the audience already know the solution and they are just needing guidance to draw it out in a safe environment without judgement or implications. In saying this don’t dwell on the history. We live in an age of digital technology so do the research and have an idea of the gaps that contribute to the solution.

3 Know your subject

As a facilitator, you don't need to be an expert on the topic or issue that you are facilitating, but you do need to have some basic knowledge and understanding of it. You need to be able to provide accurate and relevant information, answer questions, and clarify doubts. You also need to be able to facilitate the exchange of ideas, insights, and experiences among the participants, and synthesize and summarize the key points. Knowing your subject will help you demonstrate your competence and confidence, and show them that you are prepared and professional.

I agree you don’t need to be an expert in the subject however you do need to have done your research so that you know the topic and the audience. For instance if you are facilitating a room of scientists then you want to have statistical evidence to support your examples. Always maintain professionalism from the get go to the end as boundaries can enhance clarity.

4 Know your limits

While it is important to know your subject, it is also important to know your limits. You don't need to pretend that you know everything, or that you have all the answers. You don't need to dominate or control the conversation, or impose your opinions or solutions. You don't need to avoid or hide mistakes, or ignore or dismiss feedback. Knowing your limits will help you acknowledge and appreciate the diversity and expertise of the group, and show them that you are humble and honest.

One of my own limits that took me quite a while to discover: I'm not at my best if I facilitate a full day non-stop. Therefore, whenever I can, I pair-up with a colleague (or two) and we form a facilitator team. No matter whether it is an in-person or a virtual session, I benefit greatly from having the opportunity to "take a break" when my colleague takes over the lead and runs an exercise. During this time, I can simply recover, but I can also think about what comes next, I can look around the room to see who is getting tired, or can simply listen in to the discussion in the "observer" rather than "facilitator" mode.

5 Know your style

Finally, as a facilitator, you need to know your style. What are your strengths and weaknesses as a facilitator? What are your values and principles as a facilitator? What are your personality and preferences as a facilitator? Knowing your style will help you leverage your assets and address your challenges, and show them that you are authentic and consistent. It will also help you adapt and improve your style, and show them that you are flexible and open to learning.

Often our style reflects our purpose so don’t try and project a style that isn’t authentically you. Remember people can see through the charades and their is a reason for the facilitation, and the more we adapt the clearer the contribution.

Also consider the invisible diversity of the audience and ensure that your communication is inclusive and authentic. I remember sitting in a suicide prevention social emotional well-being strategy meeting a while ago and the non-Indigenous facilitators spent much of the day confirming and clarifying the colonial history in the area. They dug themselves a hole and at the end of the afternoon the facilitators were now educated in Indigenous and colonial history. No strategy framework had been established. I wondered how much time and money could have been saved had the organisation had also done their homework on the facilitators. Know your audience, be aware of the history pertaining to the subject area and stay focused on the purpose.
