Having managed a large AP team, I can tell below issues hinder the payment. 1) Addressing to wrong entity 2) Invoices sent with Incomplete details. 3) Details on the invoices not matching with PO details 4) Service quality issues do not address on time. While these are tactical issues, these will prevent significantly the payment delay issues. On the other hand, we also need to look at strategic measures like: Establish Payment Terms, Offer Payment Options, Automate Invoicing & Incentivize Early Payment: Offer discounts. Last but not the least have credit checks and late Payment Penalties. In addition, having an efficient AR team with availability of detailed MIS will help to avoid late receipts. Maintain good relationship with clients.

Communication is key. Email, pick up the phone and talk to key players in Accounts Receivable, Business Owners if need be. Offer payment plans if their struggling & usually good payers. If they stop communicating bring in the debt collectors

This could be in the form of automated emails or text messages 7 or 14 days before invoice(s) due date. The first priority in follow up is to ensure the debtor is engaged before the invoice falls dues and resolving anything issue which can delay payments.Overall, the success of follow up process will depend on having a clear receivables collection process and procedures with the credit policy

We should also highlight the historical payment patterns, to showcase customer why you are asking them to pay on time, first we should fix the route cause if real delays from customer side than we should impose penalty or avoid any discounts they are eligible
