This may go against using dedicated tools but I'll always have a soft spot for Excel/Google Sheets + JIRA. Excel's interface is something that most of us are familiar with. There's no requirement to look up tutorials or onboarding sessions; you can dive right in. It's a cost-effective option and dead simple. Values I've used before are: JIRA ID, Description, Priority, Estimate, Status, and a spot for Notes/Comments. Also, it's good to have a column for initial rank so you can see how an item has moved up and down the priority list. This combined with a weekly backlog meeting with stakeholders makes for an excellent pairing in my books.

The right tool is always important because it assists everyone (Developers, QA, Scrum Master, Product Owner, and Project Manager) in identifying where the process or story stands and makes it easier to track team velocity. Tools like JIRA, Jira Align, and Lean-Kit help us generate the necessary metrics on demand. Is it truly necessary?
