What is the best way to determine the length of a conference speaker's presentation?

At our annual Congress, featured keynote speakers have up to one hour, scientific presenters 20 minutes + time for Q&A right after the presentation. The technical/commercial presentations are 10 minutes. We always have a survey poll afterwards.

Let’s not over complicate this subject - the ‘golden rule’ always applies, right? As a conference keynote speaker, I ask all potential clients to complete a detailed Speaker Briefing Questionnaire that as you might expect includes a section on session timings. It’s my belief that the speakers ‘golden rule’ is to never go over the allotted time. I make a point in any client pre-calls to check and double check what the timelines are & I also make sure that if for example I’m asked to speak for .30mins, any intro is outside that timeframe. Clients do sometimes throw last minute mini curve-balls (thats fine!) when at the 11th hour they might say ‘oh, Michael, we’d like to have a Q&A’ and so a different convo ensues. Remember the ‘golden rule’!

Customize / tailor to each audience you speak to Let them know how long they need to concentrate (slide 'page numbers / total' or 'Powerpoint Progress Pie' chart or 'Swim Plot' in a corner !). Concentration starts high, flags in the middle and increases when 'end in sight', so cue when the summary & end is approaching, encourage questions AND follow up afterwards

Most conferences (particularly an academic presentation), you allow for a 20 minute presentation and a 10 minute question and answer session. If it is purely to inform your audience of a topic then the presentation is between 15 and 20 minutes.

From experience to determine the length of your topic, you need to first determine how complex the topic will be, and then merge some points maybe under a family . That way it is quicker ti run through it.

Les conférences visant à ouvrir l’esprit (philosophie notamment) nécessitent un temps d’appropriation des concepts de la part du public et il est nécessaire d’opter pour un temps long. Qui laisse la part à l’appropriation personnelle. Des sujets plus techniques qui, a contrario, visent à resserrer sur une démonstration imparable, se font dans un temps beaucoup plus court.

Another aspect to consider is the timing of the presentation in relation to other program items. After lunch or dinner a long, complex lecture is sure to make some eyelids heavy. If there is an active outdoor element in the program you prime people for short introductions to interactive workshops. A good keynote should ideally not go beyond 45 min. After that you have a 1,5 hr window to dive deep into a subject.

If it is just a start of the day warmup presentation then short and sweet with a bit of humour and engagement, and any key notices, will suffice. If you are presenting on a complex topic with the aim that those present come away with a good understanding you will need much longer, appropriate collateral that fits the participants' ways of working, visual aids, discussion/participatory time, and comfort breaks will be essential.

This is a very valid point which is too often overlooked, however I'd stress that adapting session times to speakers on an individual basis is generally not possible in most conferences, unless you are designing the entire conference around that specific speaker. A common industry practice is to keep the session length the same based on the time of participation, so for instance all panel discussions across a 4-day conference are 45-mins long, all fire-side chats are 25-mins long and all technical presentations are 20-mins long. It's not generally a good idea to change that standard to suit a specific speaker, BUT you can ensure the type of session each speaker speaks in suits their style.

Certains orateurs ont une personnalité très charismatique et peuvent tenir en haleine une audience sur un format beaucoup plus long qu’un expert très pragmatique mais moins à l’aise dans l’exercice oratoire, qui devra prouver son point en quelques minutes. Tout dépend du cadre dans lequel s’inscrit la conférence

Il me semble essentiel de se poser trois questions : qu’est-ce que je veux faire principalement comprendre à mes auditeurs ? à partir des idées qu’ils doivent retenir, en quoi les connaissances que j’apporte sont remarquables et cohérentes entre elles ? (donc mémorisables). Et enfin, quelle histoire vais-je raconter qui encha?ne ces connaissances de fa?on logique ? Il est alors plus facile de proposer un exposé cohérent, d’agrémenter les transitions en rendant explicite notre raisonnement, et d’illustrer nos propos d’exemples ou d’anecdotes pour que les auditeurs restent concentrés sur le fil du discours sans que cela ne devienne trop compliqué à suivre (évitant les ruptures d’attention). Et évidemment, cela ne tiendra pas 4 heures…

The bugbear of any professional speaker is finding that your predecessor has been unprofessional by going over time. Always have several versions of your presentation in your back pocket. You are more likely to be asked back by the organisers if they know you can adapt to any set of circumstances!

What is the best way to determine the ideal height of a General leading an army? Or maybe , how much paper do you need to wrap a parcel.... Each speaker will be different - what is their message, their style, their timing on the agenda? Who spoke before them , who is speaking after? Cut your cloth to fit!

No obstante que todos los factores manejables puedan estar bajo control, siempre existirá el riesgo que yo llamo "atmosférico". Cada orador conecta, o no, con su audiencia por circunstancias y detalles que están fuera de la lista de factores que puedes controlar, por más que puedas contar con un "pronóstico". Yet 'engagement' lasts but a few seconds, then many speakers tarnish their reputations by doing a 'data dump'... Consider going beyond merely engaging your audiences to engaging, compelling, haunting then obsessing them with your knowledge, your skill, your business so that they always think of you...

J’ai notamment constaté que le type de public a un effet important sur la durée d’une conférence, en effet second type de public, c’est-à-dire professionnel, particulier ou public, amateur ou expérimenté. Le temps d’explication peut avoir un impact aussi important. Et le lieu et le type d’évènements peuvent aussi avoir un effet sur le temps de conférence.
