What are the best practices for incorporating accessibility into event production?

“Nothing about us without us.” Your first step should be to speak to people who require disability accommodations about their painpoints and needs.

Sometimes, you don’t know what you don’t know. I have seen so many teams try to solve for accessibility without ever consulting with their audience. In my experience, the most effective thing you can do is ask attendees ahead of time what their needs are. This can be done anonymously as part of the registration process. Accessibility is not one size fits all, and nobody likes to have to request accommodations in the middle of an event because their specific need was not considered. TLDR: Don’t make assumptions. Ask people what they need, and build it into the plan.

It is critical to ensure that events are accessible to attendees with hearing impairments by providing ASL interpreters. ASL, which is a visual language, enables deaf people to understand and communicate using facial expressions and gestures. Promoting inclusiveness, event organizers who provide ASL interpreters guarantee complete participation in presentations and discussions. By facilitating active engagement and providing access to information, this not only enhances the overall event experience but also benefits all attendees. Communicating in ASL, interpreters ensure that all individuals, irrespective of auditory capabilities, have equal access to information and can actively participate in public gatherings.

There's nothing worse than attending an event and having a barrier to you attendance, be that physical or otherwise. Doing a venue walk through prior to booking is crucial so that you can identify any areas that might be a challenge and put a plan in place to overcome that challenge. Short of capacity inside, one of the other top priorities is ensuring there's adequate parking. If not free onsite, make a not of how far away and any charges that apply and make sure you communicate this with delegates. They won't mind paying if they have advance notice. Asking other questions, such as about hearing loops and catering are also a great idea. Better to have them and not need them, than need them and not have them.

When you are putting on an event, all who are hired, the only requirement is we are all on the same page and have the same focus to get the job done even if there is a glitch the show must go on unless it's a natural disaster.

I work as an educator and allow last minute changes for all people with and without disabilities is needed. We need to know our audience we serve and make them feel safe, secure, that they have much to contribute to educate people to accept and support them more. Making the necessary adjustments and accommodations is a plus it makes schedules move along smoothly with organized learning and activities.

I agree! One tip I have is that you can call ahead to see if there’s a ramp or working elevator! It’s really important to have accessible events!

Events should be thinking of this not just because of disabilities… We’re all unique people who also learn and take in information and events differently. One item I’m big on is different and unique event seating. Have theater style. Tables. Couches. High tops. Make the space welcoming and create an atmosphere of collaboration and fun!

All too often, accessibility is an afterthought and not planned in advance. In tech coding, there is a movement called “shift left.” This is a mindset that we should all put accessibility at the front of the code, or think about it first. By considering accessibility first, we don’t have to go back and make corrections, which often takes more time and resources. This is often referred to as the “curb cut effect.” What was originally designed for people who use wheelchairs actually benefits everyone.

Multiple presentation modes and a focus on a range of learning styles and communication demands guarantee a more inclusive and captivating experience.? A dedication to creating an atmosphere in which everyone can participate completely is demonstrated by testing and assessing content for ease of use and accessibility.

And getting speakers who are open and aware of people’s different disabilities, abilities, and learning styles. When the speaker is also conscious and aware, that makes a huge difference!

The incorporation of accessibility is a requirement of all the events I am privileged to coordinate. Closed captions for live events is a must. For almost three years, I’ve coordinated with a closed captioning service which has provided wonderful service and support to ensure the events hosted are accessible for participants/attendees of the hosted live events as well as post event deliverables. When choosing a close captioning service, ensure that they meet all requirements for the client. Ensuring compliance, reading reviews and getting to know the support team as well as the clients manager is one key to success.

In the ever diverse work force at events, make sure you employ staff for events that are proactive in communicating to people - being aware of signs when someone is in extra need of help goes a very long way. All these little actions contribute to the overall success of any event.

Train your staff and people to just be nice, welcoming, and friendly. The rest takes care of itself. ESPECIALLY when it comes to early events. Nothing worse then grumpy or unenthusiastic staff in the Am

Select accessible venues with ramps and accessible restrooms. Ensure nearby accessible transport and parking. Use clear, braille-inclusive signage for navigation. Offer sign language interpretation, captioning, and audio descriptions. Provide materials in large print, braille, and digital formats. Make event websites and registration WCAG compliant. Arrange inclusive seating and diverse communication methods. Train staff in accessibility best practices. Gather attendee feedback on accessibility features. Incorporate accessibility into emergency plans. Highlight accessibility features in marketing materials.
