When setup correctly, CM allows you to control any and all documents and the ability to coordinate with multiple individuals, groups or departments at the same time when dealing with documents. This may range from newly created document to existing documents, vendors, customers and allows you to control who, what, when and where, a document can be viewed or modified. Also, this allows documentation control for revisions, newly released and existing documents. It's a valuable tool to track and trace a document from beginning to end. It helps to implement standards and keeps individuals accountable when dealing with documents, drawings, standards, spec's, etc.

By reviewing changes and recording approvals, not just technical reviews and approvals but also program management financial approvals, CM touches all groups involved in a program, including Contracts and Subcontracts. We publish our CM records which they can rely on for status reports. Technical staff align their work to the baselines, so we all communicate through change management and change control boards.

This is great in theory, but, in the real world, the lessons learnt regarding conflict resolution are often discussed behind closed doors, as this is regarded as strategic planning and risk management.

In my experience it is the difference of consistency in up to date documents/requirements and most importantly the required training on the tools to be used would allow minimal error and disruption. Any inconsistency on any ofthese particulars will cause costly delays either individually or collectively.

CM will keep a history of the document(s) and captures each revision. This will assure the document you are looking at is the latest and greatest version and will eliminate the chance of have multiple versions in public circulation.

Transparency is an overused buzz word, used to describe the utopian state of the ultimate forms of communication. The only people who are privy to this are Human Resources, at the performance reviews and Quality management on the findings of the customers audit.

CM can help you encourage and incorporate feedback from your team members and other sources into your system's development and improvement. CM tools can help you collect and analyze the data and metrics that reflect your system's functionality, usability, and quality, as well as the satisfaction and expectations of your users and customers. CM can also help you facilitate and manage the communication and collaboration among your team members and other parties, such as through reviews, comments, suggestions, and approvals. By using CM, you can enable your team to share and learn from their experiences and insights, as well as to respond and adapt to the changing needs and preferences of your system's environment.

Most people are concerned about keeping their jobs in the current climate and open communications does not readily occur, unless, someone can gain an advantage or advancement in the sharing of development and improvements.

Not all people want to participate in a CM education, for example the buyers of the Purchasing Department, often consider CM a handicap to their functional activities.
