How do you set and communicate your online tutoring schedule?

In the world of online tutoring, a preferred platform is your compass for scheduling. Imagine a conductor orchestrating a symphony with precision. Opt for Calendly for its user-friendly interface and robust integration capabilities. Ideal for tutors, it simplifies scheduling by automating availability, syncing with multiple calendars, and facilitating direct booking links, streamlining the coordination process with students.

Be careful to avoid deviating from the boundaries you have set. While it might be easy to allow students 10 additional minutes of your “off-the-clock” time or writing or meeting with students who request to connect during times that are not your working hours, this can lead to burnout and unsustainable expectations.

If parents would like regular feedback, it's helpful to allocate a few minutes within the session time for this. This can help keep ensure you're not running over, and avoids lengthy conversations too frequently.

One thing I’ve found incredibly helpful is writing up a contract document that parents or students can read through and sign before beginning tutoring sessions with me. The contract can be as simple as a word document that outlines your key policies regarding cancellations, no-shows, payment terms, expectations and more. It means you have clear, written guidelines on things such as having a 24 hour cancellation policy and ensures you have communicated all the crucial information to parents prior to beginning sessions.

Google Meet allows you to create and present a Jamboard. These can be created as a set of slides ahead of a session, or you can use it as a standard whiteboard during a session, and students can add their contributions if you share it with them.

Review your schedule regularly to ensure it aligns with your goals and expectations (e.g., target income, work-life balance). Track your time, income, and expenses to identify areas for improvement (e.g., reducing unpaid time, increasing hourly rates). Seek feedback from students to gauge satisfaction and identify areas for improvement (e.g., teaching methods, communication). Reflect on your strengths and weaknesses to identify opportunities for learning and development (e.g., taking courses, practicing specific skills). Optimize your schedule based on your findings to improve performance and productivity (e.g., adjusting availability, streamlining processes).
