How do you evaluate and improve the quality and impact of software training?

Evaluating and improving software training starts with defining clear, SMART goals. Drawing from my experience, these goals are vital for aligning training with expected outcomes and ensuring team members gain relevant skills. Additionally, it's crucial to measure progress through regular assessments and feedback mechanisms. This approach not only tracks the effectiveness of training but also highlights areas for enhancement. By focusing on specific skills that directly impact project performance, you can continually refine training to better meet the needs of your team and the demands of your projects.

The method and technique used for training is critical. On large scale project and programs it is ideal to have both an on demand training component as well as instructor led refresher upon arrival. Another key tool is a "cheat sheet" to provide a simple on page PDF or printed document which acts as a quick reference guide for employees utilizing a new piece of software. The impact of the training can be measured in proficiency of the users in the form of a pre and post test.

Questionnaires, quizzes, and surveys are cost-effective tools to kick-start and assist with managing change. Questionnaires and surveys help remove barriers to productivity. Surveys can establish a baseline to improve performance. Allowing team members to share their feedback in a detailed and anonymous format on a questionnaire can provide the needed responses to determine a starting point to cultivate solutions.

Software is a tool. Whether you are a facilitator or a participant in software training, it is critical to understand the purpose of the software selection and the functions of the business requirements it will support. Keep a log of repeated questions to identify additional specialized training focuses. Remember that the learning curve for software training requires diligent patience to help offset unexpected frustration from learning how to utilize the software properly.

In my opinion, way to approach this starts way before training itself. During the design sessions and evaluation of the software, “The discovery phase”. If we do that correctly we should have a very good idea of what are the pain points and how user effectiveness is going to improve. After that, there are ways to check how a user is performing on a screen. The point is it’s not just training. It actually starts from your findings in the discovery phase based on those training should be designed to improve user experience and effectiveness.
