How do you evaluate and compare different digital asset management vendors and solutions?

One time at work, I created a checklist of features and functionalities that were important to our team. In my experience, this helped us narrow down our options and focus on vendors that aligned with our goals. Choosing the right DAM solution is like buying a car: it depends on what you need it for. Are you commuting in the city, driving long distances, or off-roading? The same goes for DAM. Are you managing vast amounts of content, or do you need it to share brand guidelines with ease? Maybe your focus is on handling complex metadata for detailed documents. Different DAM systems serve different needs, it’s all about finding the best fit. And, of course, there’s the budget (never forget about ROI...is your DAM going to be profitable?) Clear on your needs, go to the market. You will find enterprise DAMs that will cost 6 figures and others that will be 5-4 figures, depending on usage. Identify 2-3 vendors and ask for a demo. Then decide. O

When evaluating and comparing different DAM vendors and solutions, it's crucial to consider the long-term scalability and integration capabilities of the platform as well as value for money. Given the rapid advancements in AI and machine learning, selecting a DAM that can evolve with technological trends is essential and this can be more about team and the business model underlying the provider, rather than just the biggest vendor. Additionally, assessing the vendor's track record and customer support infrastructure can provide insights into their reliability and commitment to continuous improvement.

Before choosing a DAM system, it’s important to start with a needs analysis and answer key questions, like the ones on the left. Once you know what you need, the main goal should be making it easy and quick to find any file. Your assets are valuable, so you should be able to access them, even if you don't remember all the details about the file. Look for DAM solutions with advanced search and AI features like face, object, and speech recognition, which can automatically tag your files and help you find them faster. After all, you've invested in these assets, so it’s important to get the most out of them by being able to use them whenever you need.

The kind of searching and organizing capabilities are important when choosing DAM tools. One of my must have features is the ability to "see through folders" at request. That means seeing all files within a folder structure as if it were a single folder. This all encompassing view compliments organization with metadata for a different slice of what you have.

Definitive answers to all of the questions are important and all of them must come from the client. I want to develop a detailed workflow for each operation performed. Once the workflow is defined, I would then compare vendor candidates using a matrix, determining which can meet the needs. Typically, none of them check "all" the boxes, so we look at the majority in that case...but there's more. Additionally, questions I would ask relate to the viability of the company providing the DAM. How long have they been around? Who, if any, is the parent company? What references can they provide? How do they handle customer support? Do I get a number to call or am I limited to providing an online support ticket?
