How do you design and implement a records management AI strategy and roadmap?

I'm not sure you do, it should be an important perhaps core element of a broader strategic approach. Segmenting R&IM as somehow separate is unhelpful, it should be a strong theme throughout a comprehensive model.

I also feel that it is important evaluate the existing culture of the organization in-terms of record management. It is one of the compliance driven operation which few understands or care about. Before bringing and embarking on a project it might worth to run an information campaign to make employees aware of the importance of records management and its key tenets

Organizational maturity is very important here. Having a great understanding of new technologies being implemented can be key in ensuring cost effective-projects that will yield success. The last thing you want to do is leave this entirely in the hands of contractors, especially in 2023 where this technology exists but is not widely adopted in records management.

Record management initiative also gets influenced by cloud strategy, Cyber Security and retention policies. There are other considerations to archival strategies (Tape, HDD, Paper, Cloud etc.)

It's important to stay on top of emerging legal and regulatory obligations as well, such as Ethical AI, which is coming into force across most advanced economies imminently, and will have a direct impact on which types of AI you are allowed to use for recordkeeping decisions and actions.

Record retention and dissemination as well redaction abilities would need to be laid out from the beginning so as not to run in to legal issues upon implementation.

Generally majority of the IT projects are measured in-terms business outcomes through return of investment. Something which measurable,The SMART in SMART goals stands for Specific. Something is like Measurable, Achievable, Relevant, and Time-Bound. For record management projects it will be an internal project and does not bring in real return in-term increasing in revenue or profit. The benefits will be Risk Management, Adherence to Compliance, Cost Reduction. It will be important for built the project charter to justify the investment

AI is for optimization. Records management is for standardization. Those two are very different things. So, either use AI to learn about your data. Then create standards and policies. Or Use AI to improve your standards and policies. To upkeep these policies and to find small improvements to it.
