How do you deal with unexpected changes or issues during an audio visual project?

When dealing with a new project. I always ask as many questions as possible about what my client wants to accomplish with the meeting that they are doing. This helps me understand their goals and expectations. Which helps me to see things technically that they may not have been aware of, and we can then offer a solution and be better prepared for the meeting.

In my experience, it's all in the preparation. A world leader in AV once said to me, "One hour of preparation in the warehouse can save hours on site." Simple things like labeling flight cases and rooms can save hours of confusion for the crew on site.

Regardless of the extensive planning. Evey project comes with a few surprises as there is 'human factor' involved. In addition to extensive planning, what's more important is the teams and managements will to accept the error, communicate it with the stake holders and explore ways to mitigate the impact. This would not only boost the morale of the team towards their leaders but also creates a lasting impression with the stakeholders that despite the odds, this is the team which can get the work done!

All of these are important. But what I find even more so, is being Solutions-oriented. Playing the blame game takes up your most valuable resource. Time. It can also cause a fracture in your team at worse, or a distraction at best.

Things change in live events, sometimes even last minute. It's always great to be able to adapt under that pressure and remember to take a moment to take a breath and find a solution to what happened. Don't be scared to ask for help if you need it.

Things are going to happen when doing live events. That’s the reality of the situation. Try to stay calm and troubleshoot as needed.

Teamwork is key, and one will always encounter challenges when on-site. Creating complex AV events is not easy, but having a great, flexible team and a reliable supplier base is critical to the event's success.

I would say that having a flexible on-site project management system like "Monday" will allow you to make changes and keep teams updated on progress. I remember once when we had rehearsals for a large product launch in Las Vegas. Everyone was prepped and ready for the keynote speaker the day before, only for his flight to be delayed. The team around me was able to adapt quickly and focus on other areas of the project.

Feedback post-event is as important as the event itself. What went well? What can be improved next time? The AV world is constantly changing, with newer and more complex tech driving the shows. Be sure to document your learning and constantly strive to improve.

At the end of each project, it is essential to review how the results aligned with the objectives set at the beginning. These objectives serve as clear parameters to measure success and quantify the final impact. Gathering feedback from the team, the client, and other stakeholders provides a comprehensive view of what worked and what didn’t. It is important to document these observations and analyze them to adjust strategies and practices for future projects. Evaluation is not just a reflective exercise but a tool for professional growth and continuous improvement.
