While you do your traditional user research, try to use the products that compete with yours and be open minded about that, sometimes what is competition is not so obvious. We all advocate for simple and understandable information, and we enjoy being organized to enhance efficiency, so we need design principles, that humanise the technology, thus enabling digital technology to assist us in our daily needs effectively. The significance of software or tools lies in aiding and empowering human beings. As designers of these tools, it's imperative for us always to keep this in mind.
Accessibility is key. When trying to create an easy to use experience online, the most important thing to remember is that ultimately you want to serve as many members of your audience as possible. One of the easiest ways to do this is to ensure that you are making a conscious decision to not exclude anyone, whether that be through poor colour choices that block visually impaired people from using your sites navigation, to having a bad implementation of keyboard navigation and accessibility must haves such as alt text. If you include accessibility in your design and build right from the start, you will notice that not only has your websites experience improved for differently abled users, but for every single person that uses your site.
The first principle of UX Design is to understand the users needs and goals and always start from there. In every meeting there will be people that will (in good faith!) try to solve design problems with other goals in mind, such as - it will be easier for developers if... - the company will make more money if... - marketing wants us to have this trendy pattern because... not discounting them, but a UX designer is first and foremost a user advocate! so fight the good battle and try to make sure that if the above are considered it is only because these goals happen to also align with the users'. An easy to use user interface is one that solves a problem that a user has and/or reduce their frustrations. Everything else comes second.
The third step is to use prototyping tools to create mockups and wireframes of your interface. These are low-fidelity or high-fidelity representations of how your interface will look and work, depending on the level of detail and interactivity you want to achieve. You can use various tools, such as Sketch, Figma, Adobe XD, or Balsamiq, to create and test your prototypes. The goal is to experiment with different layouts, colors, fonts, icons, images, and interactions, and get feedback from users and stakeholders.
If you’re building an early prototype limit yourself to just using rectangles and simple shapes to represent your UI. That way you can focus on the information architecture and user experience without wasting time on visual design that will change.
I typically will leave prototyping until the end to avoid redundant work. Unless it's critical to convey the core experience, stay in low fidelity and talk through the interactions until your design is in a solid place.

If you need to explore UI patterns a Figma prototype may be enough, a coded one even better. Don't be afraid to get crafty, but also understand when you need a better prototype to really get useful data. Also note that spending some time building prototyping tools like a Figma library or a simple coding framework may pay off massively if it makes iterations faster later on.

Flexibility and understanding are important; at the same time, so is knowing when to stick to the design and insist that the developers try to match a key element of your work.

Over the years one technique that really helped me travel past business driven designs were holding simple 1:1 or small group informal talks with my users, when possible. In those meetings I make sure I keep the environment as informal as possible so users take it as a friendly talk rather than an interview, and I use different techniques to extract from users their ideal future vision of their own UX with the product. After these meetings I analyze the data and create a report that outputs all sorts of different insights, from UX problems to solve, opportunities for quick wins, and vision for new big features.
